Forward emails from an online email server to my exchange

Hi ,
In my company we have around 30 users , their emails are created on an email hosting site. When sending an email between them using Outlook with POP3, it takes time because the email is being sent to the online server and then arrive. I was asked to do the following :
Install Microsoft exchange 2010 .and let the emails come from the online hosting site to exchange and then the exchange forward them to the users using the POP3 , the idea is that the exchange download all the emails in its database and it spreads it to the users. Can this be done???
I already installed Exchange 2010 SP2 successfully on a 2008 R2 server.
In it i only create mailboxes as the following : username@mydomain.local
Note that our email is as follow: username@mydomain.com
We have an AD already installed on 2003 server.
I have a Juniper Firewall , I have also 5 real IPs.

Why dont you just have the hosting site which creates email, send to the Exch 2010 maillboxes and then then the users can use OWA or OA to view the emails.
So if your email is someone@mydomain.com. You will need to create your MX records for this to point to your Exch server, so email can be sent there. Configure a accepted domain so exch can accept emails for this domain and create a EAP so you can give your users (their mailboxes) an email address, NOT the @mydomain.local
Create an E-Mail Address Policy

Hi,
Why do you want to use Outlook as a POP3 client in combination with Exchange Server 2010? This doesn't make much sense because Outlook is a rich exchange client.
What i would suggest is doing the following:
- Install and configure Exchange Server 2010 in your organization;
- Configure "mydomain.com" as an accepted domain;
- Create a e-mail address policy or adjust the default address policy to %u@mydomain.com;
- Create mailboxes for all users
- Import the users old pst files (based on their POP3 account) into the new mailbox;
- Figure out a way to receive all incoming mail for "mydomain.com" (either by pointing your MX records to the public address of your Exchange server or by using a SMTP catch all account at your current POP3 supplier);
- Configure all Outlook clients to use an Exchange profile (with or without autodiscover)
If you do it like this you can make advantage of all Exchange pro's like:
- Calendar and mailbox sharing between users;
- Outlook Web App;
- Data is not on the client anymore but in you Exchange database (backup and recovery);
- Mail tips;
- Faster;
- etc
ps. You can do it like you suggested but it's not recommended
Good luck

Sukh828 , that's what i want , is that my hosting forward emails to my exchange 2010 ( in a way that the emails are stored in my exchange databases) and the user can simply got his mail through the exchange settings configuration.
I know how to configure an accepted domain but I don't know how to create EAP , so I can create new mailboxes

Cor , 10x for your reply , I want to do this to make advantage of all the points that you talked about , that is the main purpose.
The points 1 , 2 ,3 are very clear to me and can be done , but creating mailboxes users is the problem , because I only have @mydomain.local and not the new one that i create as accepted domain , plz can you tell me what is the difference between %u@mydomain.com and @mydomain.com when creating the policy?

See the link I posted earlier and the example in there.
If you have AD accounts already created, create a mailbox for them - Create a Mailbox

I did the New Accept Domain (I select it as Authoritative) and create the EAP and apply it immediately also but my question is , don't should I be able to select @domain.com when creating a new mailbox , i have only the domain.local in it , Note that the Primary SMTP have changed successfully to domain.com .
Am I missing something here? , Do I have to add the new domain as Zone in my DNS on DC????

13. dubna 2012 17:19If the new EAP has been created correctly it will apply straight away after the mailbox has been created.

I have repeated the policy many times and i select the new domain but I still cannot create new mailboxes with the new domain.
When i create a new user mailbox , i should be able to select between @domain.local or @domain.com
why i still cannot see it ? Only the Primary SMTP have changed, i am confused , what to do now? please Help....

It seems that your EAP isn't set correctly.
What do you mean that the primary SMTP has changed and that's all ?
How many EAP do yu have and who do they apply to etc..

I am just using one EAP which i configure it as follow :
(Introduction)
Name : EAP , All recipients type is selected
(Conditions )
I leave it as Default
(E-mail Addresses )
@domain.com
(Schedule)
Immediately
The EAP is marked as TRUE and with priority "1" in the EAP tab

The issue is that when i want to create a new mailbox with the new domain , i cannot find it in the domain list selection....
I want to be able to create mailboxes with @domain.com and not with @domain.local anymore because my hosted online email is @domain.com

Hi,
If you want to be able to choose domain.com when you create a new user account/mailbox you need to create a new UPN Suffix in AD.
This doesn't affect how the emailaddress is created, the EAP does that.Add UPN Suffixes to a Forest

10x Martina , now I can create mailboxes with @domain.com
Now what to do to connect the new users mailboxes to the same users mailboxes hosted online . I would like to be able to create the mailboxes from my Exchange and not from my hosting CPanel anymore .
I also want that my online hosting mail server forward the emails to my exchange and then my users can retrieve their mails by connecting to my exchange.

Now it seems like that you dont want to use the hosting solution at all.
Seems like you want to point MX records to the Exch server which seems to be ready now to accept emaill.
Verify the appropiate ports are open through your firewall for SMTP/OWA

I still want to use the hosting solution but the idea is when sending emails between domain users , it will not take time to go through internet and return to the recipients.
I have to create a host and MX record on my DNS in my DC , right?
-
16. dubna 2012 9:25You willl have MX records pointing to one place for that SMTP domain which will deliver the email to the recipients in AD, i.e your domain not the hosted solution. Or you deliver to the hosted solution. Or you create a shared namespace.

Sorry i was a few days off. So why won't you just have your e-mail delivered directly to Exchange and decommission the hosted solution? I think you want to have a config that is just to complex.
Just create all mail addresses/boxes in Exchange, have your MX records pointed to your Exchange server or internal SMTP gateway and import all old mail via the import-pst cmdlet in powershell in the Exchange mailboxes of the corresponding users. After this you won't need your hosting solution anymore.
A second option is to use your hosting provider as a SMTP catch all account. In this config you leave your MX records pointed to the SMTP servers of the hosting provider and have your hosting provider forward all e-mail to your Exchange server. In this case when your Exchange server is not available all mail will be queued on the SMTP server of your hosting provider until the Exchange server is available again.

Cor , The first option which I prefer is unfortunately not applicable , because the Exchange server might be down for different issues (hardware , electricity...) , that 's why i have to apply the second option and asking for your help one by one....
Concerning creating mailboxes and the pst file , I have no problem with this.
But concerning applying the 2nd option , I will be very glad if I can know the steps on how and where to do it.
What to do on my DC and Exchange ???? add a host and MX record? create a send connector?......
On my Juniper Firewall , do I have to route anything ?
On my hosting online mail , what do I have to do?

I finally used a pop3 forwarder as a solution and configured the SMTP and it works. Thanks all- Označen jako odpověď Sub-Zero99 23. května 2012 21:18
