Discussion GAL Update Issues

    Hello All,

                I am migrating users from different mail system to exchange 2010.  The problem i am facing is with their status in global address list.  They are updating their status (the icon) rather slowly or manual intervention is required.  So, I have following questions.

    1-  Is this normal?

    2-  What is normal duration of GAL update?

    3-  Can we change the duration of GAL update?

    4-  Does Get-GAL | Update-GAL does the trick?

    5-  For all new profiles created after the migration, the status (the icon) of migrated users is shown correctly, but already configured clients have to download OAL in order for the newly migrated users profile statuses to be updated?  Is this normal?  How to get around it so that users use GAL rather than OAL?

    When outlook is in cache mode, it uses the offline address book. This gets generated once a day. You can modify this schedule to make it more frequent. (Organization > Mailbox > Offline Address book)


    When you use OWA or Outlook in online mode you should see then imediately.

    By default OAB will update at 5 AM every morning.
    You can force the update by following SandroV's instructions.

    Thanks for the replies.

    1-  So, if I set the schedule to twice a day, all the clients will download the OAB twice a day?  In other words, whatever is the interval set on the OAB, clients will update OAB using that schedule?

    2-  Would it be a bad strategy to configure it to update every 15 minutes as migration is still happening or is it too much and would slow down the server? What could be the best possible schedule in a migration environment?

    A number of processes are involved, OAB is one, thsn you have FDS, which is around 8 hrs, then yoj have OLK clients which download once every 24 hours. You can increase the OAB but I think the defult is fine. If you want you can change to suit your env.

    1 - No, but they will be able to manually update their clients. Outlook will update between 24-48 hours on its own or when its opened.

    You need to also set the poll interval on the OAB virtual directory to match your OAB generation schedule .

    2- Every 1-2 hours is probably enough. Not sure there is much value making it less than that

    So, you are basically saying that when i would migrate user from different messaging environment to exchange evironment and even if i set the OAB schedule to update after every 15 minutes, it would require at least 24-48 hours for users to see that particular user as exchange user or closure and reopening of oultook application?

    If that is so, how can be fasten this operation i.e. the time it takes for newly migrated users status to update as exchange user rather than other messaging system user?

    pretty much yes, either you download the address book on Outlook again (inform users to do that) or let OLK do it when it wants to.

    You can force OLK to use the online GAL rather than the OAB but that kind of defeats the object.

    In the general cached OAB GAL that Outlook sees, yes. However in the Address Lists ( All Users..All Contacts, etc...) that users can access from the pulldown menu in the GAL, that will be "live" and reflect all the changes almost immediately.

    Note that you dont probably want your clients updating every 15 minutes regardless - it can create a lot of network traffic depending on the size of the GAL and if they do a full download or not. If someone is having issues seeing a new contact, I would advise them to use the Address List instead, go to Outlook Online mode or use OWA.

    Otherwise, they can manually download if the OAB has been updated on the server.
