Locked Problems with Folders (Imap) - Outlook 2013

  • Saturday, July 28, 2012 9:09 AM

There appears to be a number of issues/problems with the folder structure, certainly when using Imap, in Outlook 2013 :-(

Files that have been deleted in the Trash folder can reappear later, sometimes randomly, even though they have previously been cleared out from the folder. Also I now have the trash folder showing sometimes that there is 1, sometimes more files in the trash folder but when I check, it appears empty.

There doesn't appear to be the full control available to Imap folders in Outlook 2013 that there was with previous versions of Outlook and I suspect some problems are happening because of issues to do with the default 'trash' folder.

I wonder if anyone else is noticing similar or other problems related to folders, certainly when using an Imap account (I don't use POP so not sure if these issues are showing up when using that type of account)?

These issues should not appear with pop3.  Check the account online - is the trash folder empty there too?

Outlook 2013 uses the sent and deleted folder of the imap account automatically, but that should not cause deleted mail to reappear.

    Many thanks for the reply.

I've used IMAP accounts for my e-mail for some time now... certainly with Outlook 2010 and maybe even 2003 (hard to remember that far back now  :-) ) and never had these issues.

Previous versions of Outlook allowed you more control over the IMAP folders and I have a feeling (cant know for sure) that some of the issues I'm seeing are down to a change in the way Outlook deals with certain (IMAP) folders.

Deleted items in the trash folder do keep coming back... only yesterday evening I spent about 10 minutes constantly removing two messages from the trash folder, only to watch them reappear almost immediately once the trash folder had sync'd!

Closing down Outlook as soon as the items were removed did not stop the problem because as soon as Outlook was started again, the folders would sync' and the previously deleted items would appear again.

I have checked at my account on line and Outlook is not correctly deleting these items, but leaving them in the 'Trash' folder at my providers site.

Again, I think this comes down to how Outlook 2013 works with IMAP folders and I personally would like to have more control back from within the Outlook 2013 settings to manage IMAP folders, like was previously available in earlier versions of Outlook.

Overall, I'm liking Office 2013 so fingers crossed these Outlook email account issues can be sorted.

    Thanks again for the reply

    Update:

The problem of deleted messages from the trash folder which keep reappearing is now obviously a bug.

The only way I'm able to actually get rid of the emails in the trash folder is to log onto my email account at my provider and manually delete them from the control panel!

I've reported this as a bug and hopefully a fix will be made available soon  ;-)

I have found issues with imap in Outlook 2013 as well.  Deletion was ok, but I was getting multiple copies of emails - sometimes more than five! (which I reported)  This seems to be related to folders because it was taking a really long time to sync imap folders. I switched to pop3 and everything was fine.  Looking forward to using imap when the bugs are fixed.

Thanks for the reply... yes, there does indeed seem to be issues with folders when using IMAP.

I dont use POP3 (not as good as IMAP in my opinion  :-) ) .... so will wait and see if these issues are fixed by Microsoft... fingers crossed.

    Thanks again

Just to confirm that I am getting the same issue with IMAP. Whether I delete or move to a different folder the email reappears, often multiple times.

I know this because I repeatedly moved the mail to another folder thinking I had forgotten to and when I looked in the other folder there were multiple copies.

I have now followed the isntructions on Outlook 2013 Forum and have deleted and reinstalled the IMAP account in Outlook 2013. So far it seems to be working.

    Hi... thanks for the reply.

Yes, this is obviously a problem. I'm not sure that it is a problem for everyone... maybe just certainly e-mail providers?... but it is a bug.

I've heard there is an update already for the Office 2013 available but I've not been able to find it (unless the update gets installed automatically?) but hopefully Microsoft has a fix for this issue as it's rather annoying to have to log on to your email providers site and manually delete the files in the trash folder.

After reinstalling the IMAP account, the inbox seems fine but the Trash folder now has the problem. Selecting all and permanently deleting results in more trash showing up and it is impossible to clear it. Definitely something strange going on.

Hi again... yes, indeed. Obviously a problem with IMAP folders which shows itself by seemingly deleting the files in the trash folder, only for them to reappear again as soon as the account is sync'd!

Only way I've found to completely remove the files is to log onto my email providers web site (I'm with 1&1) and from the web based email application, remove the files from the 'trash' folder. After that, the files in the trash folder of my Outlook 2013 do not come back.

Fingers crossed that Microsoft have got a grip of this one and a fix will be available shortly.

Hi, just adding another voice to this. I'm having the same issue here. Deleted messages keep reappearing many times when using IMAP. I've tried this against a few IMAP servers (Exchange, SmarterMail, hMailServer and Gmail) and it happens consistently with all of them. Removing and re-adding the account from Outlook 2013 doesn't help, after a while the problem returns. If I use Outlook 2010 with the same accounts, it works as expected.

There are a few other annoying things. Sent messages are marked as unread when they are copied in the Sent Items folder, if I add the same IMAP account to two different Outlook 2013 installation, I get multiple Junk E-mail folders with progressive numbers (Junk E-mail1, Junk E-mail2, etc) and they cannot be removed, subscribed folder synchronization takes forever and often does not synch anything. Guess all of this will disappear as we get close to the release.

Thanks for the input and yes, folders when using IMAP accounts in Outlook 2013 seem to be generally in a bit of a mess.

Besides the initial problem I noticed, and reported, I'm also getting strange things happening with my spam folder with messages that are normally trapped from my filter settings getting put directly into the trash folder, rather than in the spam folder.... thats not too bad of course because basically I normally just delete items that end up in the spam folder, once I've had a chance to check them out but still, none the less, another issue it would seem with folders when running with an IMAP account.

I was hoping that maybe an update to Office 2013 might be pushed out soon and hopefully addressing these issues as I'm sure there are many people who use Outlook as a central part of their work/home life and it would be nice to get these problems sorted, sooner rather than later.

Overall I'm still pretty impressed with Office 2013 and the chances are I'll continue to use it, albeit these Outlook issues are a bit of a pain!  ;-)

    Thanks again

I haven't noticed the Junk 1, Junk 2 folders- will double check that my imap accounts are in multiple 2013 profiles. Outlook shouldn't be making junk folders in the imap account IMHO - it should use the account junk folders or ask what folder to use.

Things are getting stranger … but again problems relating to the folder structure of an IMAP account in Outlook 2013.

Earlier today I got what were obviously spam messages and without reading or opening the messages, I pushed them to the trash folder.

I used the option (right click on the trash folder) to ‘clean up’ the folder… but nothing appeared to happen so I used the right click ‘empty folder’ option and then all the messages seemed to disappear from the trash folder.

Next thing I noticed was that all the messages that I’d just cleared from the trash folder started to appear again, but this time, back in the Inbox folder and then, no matter what I did they just keep reappearing!

I’ve had to log onto my Email provider and manually clear out all the junk to stop this spam coming back into the inbox.

It would appear that messages that are moved to another folder, if they have not been marked as read… even if that is to the trash folder, then they get recycled and pushed back into the inbox?

I was planning on waiting until I could get the RTM version of Windows 8 (15 August for TechNet subs?) and do a clean install with both Windows 8 and Office 2013 to see if that cleared these issues. Since these problems started I’ve had a sneaking suspicion that at least part of the problem was due to the fact that I installed Office 2013 on top of an existing Office 2010 but I’m tempted to do a clean install of both and see if these issues still persist.

Just a note for whoever is fixing this: when deleted emails in my IMAP inbox return they show a size of zero - even though I can read all of the text and download attachments.

    Update:

99.967942% (approximately) of PC problems can be fixed with a ‘format C:’  J

I’ve done a clean install (format C: ) of Windows 8 RP and Office 2013 Preview (64 bit) and it would seem that the issues I was experiencing with regards deleted items from the Trash folder in Outlook 2013 reappearing, has now cleared up.

I still think that part of the problem was caused originally for me by installing Office 2013 Preview on top of an existing installation of Office (Office 2010) but I also think that there are underlying issues with folders when using an IMAP account in Outlook 2013.

I’d tried uninstalling Office 2013 and then doing a fresh install, but the problems never cleared up with the new installation just carrying over the old .PST file and settings things up as they were previously

I’m looking forward to using the RTM when it’s available (next week?) and of course I’ll again being doing a clean installation of Windows 8 and also a clean/fresh install of Office 2013 and I’m pretty confident these issues with Folders in Outlook 2013 won’t appear (fingers crossed).

Format C fixes almost everything, but at a huge cost in time and potential data loss. If you restore registries and files to get backup in record time, you risk bringing the problem back.

In the case of Outlook upgrades - if you upgrade more than 1 version you should make a new profile. In the case of betas and trials, you should always make a new profile. Both Outlook 2010 and 2013 make changes to profiles so they don't work in older versions and the old profile may not work if you decide to revert to an older version.

    Hi... thanks for the reply.

Ok on the time consuming part of doing a 'format C:' and yes, I guess it can take a bit of time but I'm 'old school' and have found, over many years of trying to get machines up and running when they have problems that sometimes, it's easier and quicker to clear the whole O/S drive off (format C:) and install everything from fresh.

In the days of DOS (think I used version 2.0 of Ms-Dos and CPM and other O/S before that), there wasn't actually much to 'install' but I can still remember sitting at machines, feeding in about 17, 1.4 HD floppy disks to install Windows 95 ... now that was a long, slow process!  :-)

Now, with SSD drives and installing from something like a USB flash drive... providing of course that you have full backups of your most important information, doing a clean install can be relatively quick and painless and for example this morning, from formatting my 120 gig SSD drive to having a fully working machine with all the updates from Microsoft and the installation of Office 2013 on my test-bed computer took just over an hour.

I know that most users wouldn't want to do it that way but I was finding that after all the tweaking and uninstalling Office, only to put on a fresh version, that the system was getting a little creaky and it was hard to see what was actually happening with Outlook 2013 and that's why I decided on the tried and tested format c: option :-)

I'm now pretty sure that the issues I encountered all stemmed from doing the installation of Office 2013 Preview on top of my existing Office 2010 given that the fresh installation of Windows 8 RP and Office 2013 seem to be working fine and Outlook is not having the problems with the Trash items getting recycled all the time.

I should mention that before I did the clean install this morning, I'd tried re-installing Office 2013 and importing what I knew to be a clean .PST file (plus backups of my contacts and calendar data) but these actions seemed to be compounding the Outlook folder issues rather than making them better.

    Thanks again for the reply.

Yeah, I had to reformat to fix a different problem with Office 2013, but its not something I recommend as a general rule. I used the factory reset option, figuring I'd wait for win8 to do a real reformat. I could have installed win8 and all my apps in half the time it took for that process to complete.

I suspected my problems were office 2010 / BCM related but I installed 2010 first to try and repro the problem but 2013 works fine. My problems were probably caused by something I haven't reinstalled yet. :)

Some issues with imap are fixed in a later build and others are still being investigated, but if your problems return, post back.

Hi... thanks again for the reply.

Yes, you are right there about doing the format yourself and starting from scratch, rather than wait for the automated factory reset. With modern systems and installing to SSD drives from something like a USB memory stick, it's amazing how quickly you can get a clean install done but yes, for most people, they wont want to go down that route  ;-)

I'd heard that there was maybe already an update available for Office 2013 Preview, but so far I've not been able to find it but hopefully, updates will arrive shortly and address some of these issues but the bottom line is, it's still fun testing out the new stuff and seeing what we'll all be using very shortly.

    Thanks again

There was one update, for the deleted Exchange bug, I didn't think any others came out yet, but C2R should update automatically as they are made available.

If they follow the schedule they use with other versions, look for updates during the last week of each month.

I am having the same issue with deleted mail re-appearinig several times in a row, and at times I have gotten the same message as many as 100 times. But if I look at the e-mail server, all of those multiple messges are there as if somehow, outlook is "pushing" multiple copies to the server.

The other issue is that several news letter to which I subscribe, no longer come in. I have re-subscribed to them and still don't ge them. My ISP has  been looking at the problem from their end and can find nothing there.

I still have outlook 2010 on the system and the same multiple messges also appear there in the same folders.

As someone else mentioned when I execute send.recieve all it seems to take a very long time to complete.

Hi ... thanks for the info.

Well, about a week before Windows 8 went RTM, I decided to format my hard drive in my test system and do a clean install of both Windows 8 RP and Office 2013 Preview and this for me certainly cured the problems of messages that had been deleted, keeping to return.

I suspected that my problems stemmed from the fact that when I'd first installed the Office 2013 Preview, I'd done it on top of an existing installation of Office 2010 (Outlook 2010) and it would seems that given the problems disappeared after I'd done a clean installation of Windows 8 and Office 2013, then that's when the problems started.

In the last few days I've done another clean install... this time with Windows 8 Pro (RTM) and Office 2013 Preview and again I'm glad to report that the issue of deleted messages reappearing has not come back  :-)

Hopefully Microsoft are aware of these issues and have a fix for future releases of Office 2013.

    Cheers  :-)

When you use imap, outlook syncs with the server. So if outlook makes a copy of a message, it will upload the copy.

Are you editing the messages in any way - flagging etc? Are all messages affected?

Just an update.... I've been running the RTM version of Windows 8 (64 bit) now since it became available and did clean installations of both Windows 8 and Office 2013.

Although doing the clean install has, for the most part, resolved the issues I was having with deleted messages just reappearing all the time in Outlook 2013, I'm still of the opinion that there are issues with the folder structure in the new version of Office/Outlook 2013  :-(

From time to time, messages just reappear after they have been moved/deleted/marked as spam etc.. but fortunately it only seems temporary and after a 'sync' or restart of Outlook, things are ok.

Hopefully the Office team are on top of this and have a fix ready (when Office 2013 goes RTM?) to resolve these issues.

I think its the sync process, not the new folder structure. After the computer wakes up it's slow to sync or the mailbox is disconnected until i press Send & Receive or restart Outlook.  All accounts are affected to a degree but here EAS and Exchange are the worst but my imap does not have high traffic so it's hard to say.

I've been running with a clean install of Office 2013 Preview since installing Windows 8 RTM and this *appeared* to cure the problem with deleted messages reappearing in the trash folder BUT, in the last few days, right out of the blue, this problem has come back!

Messages in the 'Trash' folder just keep coming back and in fact this morning, I was actually in the trash folder and watched as each previously deleted item reappeared!

As far as I know, I've not changed any settings in my Outlook 2013 configuration so it's a real mystery why this should suddenly start to happen.

Outlook 2013 IMAP folders are still broken and again the hope is that Microsoft are on top of this and can bring out a fix.   :-(

fwd of sent mail not possible with IMAP account

You can't forward previously sent mail? What happens when you try?  (It works here.)

Just an update since I first posted this question after the 'Preview' release....

Since both Windows 8 and Office 2013 went RTM, I've not so far seen the problems with IMAP folders.

Of course both Windows 8 RTM and Office 2013 full release are fresh installations since the RTM versions went live so it would seem Microsoft have fixed the initial problems with IMAP folders (fingers crossed  :-) )

I've just tried to forward a previously sent mail in Outlook 2013 and it works fine here.

I wonder what versions of Windows/Office 2013 you are running and noticing this problem with forwarding?

I have been having the same problem in both the preview and final versions of Outlook 2013 with an IMAP account.

Clicking on a sent message created in Outlook 2013 takes me to an in-line edit view where I can re-send the message, but no option to forward it (Reply|Reply All|Forward options in right-click menu are greyed out). However, clicking on a sent message that was created in another e-mail program (e.g., Win8's Mail client), I have the ability to Reply|Reply All|Forward.

I am running a clean install of Win8 Enterprise RTM and Office 2013 -- no trailing Office 2010 files. I installed Office 2013 Pro after uninstalling the Preview version (no full re-formatting) and rebuilt the IMAP account from scratch in the new Outlook install.

    I'd appreciate any troubleshooting suggestions.

Sorry to hear you are still having problems.

I can only speak for my own set-up(s) and have to say that with clean fresh installations of Windows 8 Pro and Office 2013 on at least 4 different machines now, all seems fine and the original problems I had with IMAP folders does not show itself now so again, for myself, I can only conclude that Microsoft fixed the issue.

Hope you get the issues sorted

I had the problem of deleted items reappearing when I was using Outlook 2013 Preview on Win7 or Win8 RTM.

I am now on Win8 (64bit) and final Outlook 2013.  Deleted problem is essentially gone although occasionally the deleted item will reappear in the inbox then disappear again, weird.

The sent items problem above has been there from the beginning and continues with final versions of Outlook2013 with all 4 IMAP accounts (Google, Yahoo and 2 godaddy accounts) do the same thing. The sent item in the Sent Item folder appear unsent (editable, Send button active, no way to FWD).  This is true in the reading pane as well as when the message is opened in a separate window.  I thought a few times that maybe the message wasn't sent but every time I checked Gmail or godaddy it was in fact sent and resided in the Sent Items the way it should (read, sent, available to fwd).

Frustrating that this problem was noted 5 months and several releases ago and still persists in the "final" version.

on the sent items - here, messages sent after 10/17 are ok - ones on 10/17 and earlier look unsent. I had to make a new profile but i don't recall when (bad messages were not fixed in the new profile).  if you are using a profile made in a beta, try a new profile.

I use gmail and whatever came with my Linux webserver. Will check next with yahoo and godaddy accounts.
