Workflow in MOSS 2007

Hi All,
Im having a MOSS 2007 server and it is working fine...
I want to create a workflow in the following pattern.
Workflow for leave request... I had created a list in which employee will apply for leave.
When the employee had added a leave application an email must be automatically sent to his Team Leader.
The Team Leader can accept it or reject it.. If TL accepts it an email must be sent to Hr.
If Hr approves leave must be approved else cancelled... how to do this..
the mail sending should be made automatic.. how to make this...

Im new to workflows... So please provide me a right path..

shall i use sharepoint designer 2007 or using visual studio... Pls provide me suggestions as wel as some basics...

Backing up Sharepoint Designer Workflows

Hi everyone,

How do I backup the workflows I have created in Sharepoint Designer? If I use the backup function on the admin console does this backup the workflows too?

Also how would I go about doing a disaster recovery, how would I "aattach" the backed-up workflows to the corresponding lists?

Hi,

I am getting the error message "A 32-bit verson of sharepoint server is not installed" when I try and create a state machine workflow or Sequential Workflow. Sharepoint Designer 2007 is rotton to use - incomplete. I think Microsoft should have focused on getting it to integrate fully with VS 2008 first.

Anyways - Is there a fix for this and would upgrading to 2010 solve this problem?

SharePoint designer workflow issues

I have been using SharePoint Designer to create a workflow and it is attached to the Shared Documents on the site.

The created workflow was tested a few weeks ago and it was working fine but since last week there seems to be a problem with receiving/sending email notifications.(these are not the alerts on the SharePoint site, these are notifications sent by work flow)

For some parts of the work flow we receive alerts and notifications but for some parts we don’t. One of the other guys who is working on this project with us got 50 emails through at the same time this morning and also this afternoon.

This work flow, which is not complicated and contains no loop, has been tested on a different SharePoint site connected to a different server on a different location and it seems its functioning properly.

any ideas?

Using SharePoint Designer to Create links in E-mail Notifications

Hi, I am using the WSS version of SharePoint. I am using SharePoint designer to create some work flows. I have created a template (it is an Excel file) within a shared documents library. When a user clicks on 'New' they can open the tempate and fill it out. They give it a meaningful name and save it to the server. What i would like to do is when a new template is created an e-mail alert is sent to specfic users informing them of this.

I have been able to create the work flow in SharePoint designer so the e-mail alert is sent. I have even got the e-mail to list the name the user saved the newly created template as. However, i cannot get the e-mail alert to conatain a direct link to the new document. I believe i could do this by also assigning the user a task but i would like to just send one e-mail. The url option just contains ???? when i try and use it. Does anybody have any suggestions.

Designer Workflow Status column and XSLT Data View web part

Hi i create approval workflow in designer. When i convert to XSLT Data View web part. The status column of workflow show me integer like 2,5 instead in progress, completed and not in hyperlink.
In datasource Sharepoint designer when i clik copy the XPath of name of workflow or item it return me:
dsQueryResponse/Rows/Row/@Zatwierd

We are receiving the following error message in MOSS 2007 when trying to approve some workflow items:
"Value cannot be null. Parameter name: serverContext"

Our SSP seems to be properly configured & is not giving any error messages. Could we be missing on any other settings?

Workflow is not started automatically from my custom page

Hi Guys

I have one list and one workflow associeated with it. This workflow is completely work if I am Edit item within inbuilt List page (EditForm).

I have checked option "Automatically start this workflow whenver an item is changes" in sharepint designer during workflow setup.

Now I have created one cusotm page and if I am edit item using my custom page then workflow is not start automatically.

I have checked then this event is registared with list.

Event Type : ItemUpdated
Assembly   : Microsoft.SharePoint, Version=12.0.0.0, Culture=neutral, PublicKeyToken=71e9bce111e9429c Class         : Microsoft.SharePoint.Workflow.SPWorkflowAutostartEventReceiver

Upgrading new versions of workflow with running instances ?

I've been searching for a good answer to the problem but could not find one.
Are there some best practices that explain how to upgrade a workflow when the system already has some long running instances ?
I've read that incrementing the major version allows several versions of the same WF to exist in parallel but I was wondering if I need to create a new feature and a new guid foreach upgrade ? That could lead to really hard deployment model

create task item with sharepoint designer workflow

Hi,

I have an InfoPath form and a SharePoint forms library with a workflow. When I submit an InfoPath form to the forms library a workflow is triggered. Within this workflow I want to create an item in the task list. This is possible with the action in sharepoint designer wf "assign a to do item". But within this action the name of the task item is hardcoded.

Now I want to change the name of the task item. The name should be one field of my InfoPath form. I also want to set the due date of the task item.

Any ideas?

Wait for change on field never triggers

I've got a workflow in SPD that's set to wait for a change on the workflow status field to 16/Approved for a seperate workflow that runs on the same item and it never seems to fire even when it should.
If I check the item in/out, the workflow then triggers correctly and carries on as expected. I've spent a fair while googling this and I've seen issues with pausing failing and also about infinite loops but as I see it I shouldn't get these as I'm not pausing and the workflow it's checking is a different workflow.

Some one please help me, I've barely got any hair left and I'm ready to smash my PC!
This is a fully patched MOSS install 64 bit, one fe server, one sql server.

Attach Approval Workflow to Content Type Feature

Hi All,

I had created a Custom List using Feature (Column -> Content Type -> List Definition). I also had created n number of Lists based on this List Definition.

Now, I want to attach the default "Approval" Workflow with this list and I want to do it in Content Type level (in Elements file). Can I do this? Is it possible? or what's the best way, given the fact that I want to do it only in XML not through Code.

Quick SPD Workflow Creation question for a novie dabbling in Sharepoint.

Can the action "Wait for Field Change in Current Item" occur at the very end of a Step 1 (for example), prior to Step 2?

Example:

Hi everyone,

I have step1, step2, and step3 fields. When the step2 becomes "complete", I want to send out emails. Pretty simple. What I am debating is.. among two possible ways, which one doesn't slow down the speed?

1. Start WF when an item is created and do "Wait for field change in current item" (wait for Step2 to become complete) and send out emails
2. Start WF when an item is changed and check Conditions (If Field Equals Value) and send out emails.

Two things to consider is that it could take a couple months from the creation of item to go to "step 2 complete" state (not good for solution1). Another thing is that data in other fields gets changed quite often (not good for solution2).

Which one would you go for?

Sharepoint Workflow Events Fire only work in debugger

I'm building a state machine workflow and I've found that both the OnTaskChanged and OnWorkflowItemChanged events work correctly when running in debug mode (from Visual Studio 2008) but the events don't fire when I run the workflow outside the debugger. The problem also seems to happen with sequential workflows. Any ideas? Thanks in advance for your response

How to edit the "look" of a built in Workflow

I am currently using a workflow based on the OOB Approval workflow in Sharepoin 2007. I would like to know if it is possible to do the following:

Change the subject of the notification Emails
Change the view or edit task page (I wish to change the button text and disable the "Reject" button)

Is this even possible? If yes, what tools do I need to do this?

Problems with OnItemChanged in a Parallel Shape

Hello,

First, let me explain the scenario. I am working with Sharepoint 2007, Infopath 2007 and Windows Workflow Foundation 3.0. I have two infopath forms. The user fills the first form, which causes the workflow to start. This workflow creates a task with the second infopath form. When the second infopath form is submitted, the workflow creates another task with the second form. The idea is to generate an infinite number of tasks until someone chooses to close the process. I used a replicator shape with "CreateTask", "OnTaskChanged" and "OnTaskCompleted" shapes.

But here comes the tricky part. The users can edit the first form. When someone edits the form I want to reflect the changes in the current task. For example if I updated the field A in the first form, I want to see that field updated in the second form.
I tried to implement the following logic in the workflow: a parallel shape with the above mentioned replicator in one branch and in the second branch I added a "OnWorkflowItemChanged" shape within a While. This shape updates the task.

Right after this error, when I try to submit in the second form it gives me the (common) error: This task is currently locked by a running workflow and cannot be edited.

I tried to find someone with the same problem but the general idea is: it's a framework problem (it also happens with OnTaskCreated in parallel shapes) and you can't do anything about it. Well, I haven't yet given up.

keep unique items, delete duplicates

So i have a column "Category" that distinguishes each item, placing them into categories. I'm attempting to keep the first instance of a type of item (based on the Category) then deleting any duplicate entries that follow which match this Category.

The current workflow I am working with is initiated when an item is created:

Step 1
if category equals list:category
and ID not equals list:ID

Step 2
delete item in list

This workflow above simply deletes every new item that is created, rather than maintaining unique items and deleting duplicates that are in the same Category.

Can anyone help out?? Unfortunately I'm limited to SPD--I have no other programs at my disposal.

Time-based Workflow

I need to do a multiple time-based workflows on my site,
(due dates, date comparison) but some of them need
a large amount of time to execute or even to test,
like a yearly basis inventory check.

My first question is about testing it. is there any way to test the (yearly) workflow
besides waiting the whole year? ( both using VS 2008/2010' WF or OS designer 2007)

and my second question, more importantly, is this workflow going to execute at all if the server
runs a problem, or a shutdown or maybe a blackout occurs (wich are very common here in Ecuador nowadays)

Problem with approve/reject feature when using sharepoint aproval workflow

Hi,

Recently we added the approval workflow from sharepoint default workflow to a document library to manage content approval. The workflow is automaticly started whenever a user use publish a major version wich is working very well.

The problem is that since we added this approval workflow on the library the approve/reject feature that we can use on any document does not work anymore. We can press the approve/reject button wich bring us to the window where you can select approve, reject or pending but when we choose approve and press the ok button nothings happen, you can press the button 10 times but no loading and no error. This problem affect all library documents and folder and all users even full control users. As soon as we remove the approval workflow from the library we can use the approve/reject with no issue.

It's not a big deal for documents because the workflow can approve them but it's a big issue for folder wich can't be aproved anymore when they are created because we can't use a workflow on a folder and the approve/reject feature don't work. Any idea how to fix this ?

We are using MOSS 2007 Version 12.0.6425.1000 on a Windows server 2003 R2 SP2 x86

A Href removing space when passing a string in a email

In an email action I'm building a string using an <A href. I'm working with a list called Document Sets and also a column called Document Set. I'm passing to a page the current document set in order to filter a web part.

Here is the example

The problem is that when the document set column data contains a space (such as Company Overview), the email removes the space between Company and Overview (as seen below). If I add the Document Set column to the email directly it displays fine with the space

I created a workflow for document approval and added that a "Document Library". When a document is ADD my workflow is started. This is working. I'm using Content Type.

However, an error message is logged. The error is as follows:

Submitting requests for other users

I have set up an IT support requests page on our Sharepoint site, and have an automated email go to the User that the request is submitted for (as managers often submit requests for their staff). A link in the email takes the user to their open service requests, but while the view shows requests generated by them, it does not show requests submitted on their behalf.

In the view I am matching [Me] to the User field or to the Created By field, but the User field seems to store the login name, and [Me] returns a fully qualified user name and so there is never a match.

Can someone suggest whether what I am after can actually be achieved, and how I might go about it?

OnTaskChanged event doesn't fire after SPWorkflowTask.AlterTask

Hi guys

I've been following Robert Shelton's tutorial on creating an approval workflow, but ran into an issue I'm having a hard time resolving. After the approval task is created, we create a While loop and wait for a private member, 'taskCompleted', to equal true before completing the task. Within the while loop is an OnTaskChanged that should set taskComplete = true and exit the loop. Once we exit the loop, CompleteTask runs and finishes my workflow.

In other words, this is what the flow looks like:

CreateTaskWithContentType -> OnTaskCreated -> WhileActivity -> OnTaskChanged -> CompleteTask

I'm debugging my workflow in VS, but never hit the WhileActivity->OnTaskChanged section. I tried disabling the OnTaskCreated step and now find that I do hit the WhileActivity step when initially starting the workflow. However, once the content approver returns to the workflow and clicks either Approve or Reject (in either case, we run a "SPWorkflowTask.AlterTask" method), OnTaskChanged doesn't fire.

Any ideas what the issue is or how to further investigate?

User can't open Task modify Form for a task he's assigned to

Hi guys,

I have a WF with custom Task Modyfing Form .
The problem is that after task is created by WF only user who initiated WF or system user can open Task Modyfing Form .
Any other user get an error while opening this form:

Value does not fall within the expected range.

I gave full permission to any user at the Task list but it didn't help.

Any ideas?

Sending emails to distribution list mail ID from WSS workflow

I have designed a Sharepoint workflow to send mails to a distribution list mail ID(Ex:hrindia@domain.com) whenever a list item is approved.The distribution list contains four members.

The problem is whenver the list item is approved the distribution list is not getting any mails from the workflow.Kindly give me solution or suggestion for the problem.

Email "From" and "BCC" fields for the send an email action

We use Exchange, but I'm not sure which version

I have created a simple form that will allow a user to select a distribution list, select a date, and enter details for a mass notification message. I have the form set up as a content type and a workflow built to apply to that content type. The workflow then creates and sends an email with the To: field set to an internal email address and also CCs the Exchange distribution list(s) selected on the form. It also throws the details from the form into the body of the email message. When I tested the workflow without the distribution lists specified, it worked fine.

So far, so good... however I have the following issues:

a) when the email is sent, the From address is system@oursharepointserver - how can I change this?

b) I want the distribution list to be in a BCC field rather than the CC field. Of course, there is no BCC field on the email form that SPD gives me when I'm building the workflow. NOTE - if it's possible that the external (not within our company) recipients can NOT, in any view, see the expanded distribution list membership then having them in the CC field would be okay. Not having a lot of experience with Exchange distros, I'm not sure how this works exactly.

I have created one wiki page in wiki library and attached the out of box approval workflow template with one level of approval.once it is approved after edit the wiki page content then workflow is not starting.

What may be the reason, is it the process is like this or something else need to be followed?

Server Out of Memory error - in a Workflow

Hi:

I have a list that starts a workflow when an item is added, for the moment this workflow only sends an email (this list is in an anonymous site). When you are signed in the workflow starts and finishes without a problem, but when you are not signed in and you add a registry we have the error below.

We have increased the web garden to 2 and the performance of the app pool, but we have the same problem.

Does anybody knows a solution?

Add MOSS workflow templates to WSS?

I need the three workflow templates included in MOSS.
Approval
Collect Feedback
Gather Signatures

Since we are a small organization running WSS 3.0, is there a way to import/add these into our WSS 3.0 environment? In my google searching of this issue, it appears that this is not possible, but did not see anyone specifically asking this question.

Updating/upgrading workflow task form

Hi,
I've custom WF developed with VS2008, WF tasks are implemented as InfoPath forms. The WF and the forms are deployed as a feature in a solution. Now I'm checking the upgrading/updating procedure to a new version while letting existing instance of the WF to be competed safely. I'm having hard times finding how to upgrade or even add new task form (Retracting and removing the solution is not an option since it will break existing running instances). How can I simply upgrade or add new workflow IP task form to central admin?
Here's what I've tried so far:
1. Tried to upload an upgraded form to the central admin form management - it does not allow to update forms which have installed as feature.
2. Tried to upload new IP form - it's not 'workflow compatible', probably because the forms server demand WF forms to be deployed as feature.
3. Tried to put updated forms in my solution (WSP) and run stsadm -o upgradesolution - this indeed upgraded the WF but the IP forms are left unchanged.
4. Similar to step 3, I've tried to create new IP form, put it inside the WSP package and ran stsadm -o upgradesolution - the new form was not added to the forms library.

Any help will be appreciated.
