    We've just signed with MOS BPOS. We have two legal entities that will use the email system. The specific entity emails will be distingushed by the signature block at the bottom of the email.
    One of the entities has regulatory requirement to archive its email, the other entity doesn't have this requirement.
    When archiving, is it possible to only archive those emails belonging to the one entity required to keep email?

    To be specific, when you create a Service Request you are requesting that Journaling be enabled on our server to push mail into your archiving solution.

    Requirements:
    - Create a contact object in the Administration Center pointing to the mailbox of the archiving solution
    - Create a Distribution List in the Administration Center containing the users that need to be archived.
    - Indicate the name/email address of both the Contact and Distribution List in the Service Request

    The Distribution List will act as a list of users that will have their email sent to the archive solution.
    - This can be modified on the fly whenever a change is required in who is archived.
    - Journaling is done on the mailbox level at this time.

    If more specific restrictions on journaling are needed, such as only specific messages from the users listed in the DL, please indicate this and we will see what we can do.

    Exchange Online can be configured to Journal to an external location, I'm sure if Sunbelt uses Journaling or not.  Journaling will only get the messages that are sent and received after it is enabled, and won't get your historical data. 

    In order to pull mail out of the mailboxes, you'd have to probably use Outlook to pull it to PST and then import the PST into the archive.  Outlook would have to be connecting to Exchange Online via RPC/HTTPS.  Again I'm not sure if Sunbelt supports that functionality.  My guess would be it does not.

    It will show up in Outlook only because the message was sent by the user or received by the user, if that makes sense.  With Journaling, all it essentially does is record every message send and received.  So if a user deletes a message from the mailbox, the Journal will still have a copy. 

    I know most on premise archiving solutions can automatically archive mail say after 90 days.  When they remove the message they'll oftentimes place a a link/stub to the message in the Archive.  I would guess that Sunbelt cannot perform that stubbing functionality with Microsoft Exchange Online because that would you require access the mailbox via RPC/HTTPS or Exchange Web Services, which I would guess Sunbelt doesn't do..I don't know any archive vendor that does.  Maybe someone else in the forum has seen a vendor that supports this functionality with microsoft Exchange Online.

    Yes you can. When you send over your info only inclued the email boxes that you want to archive.

    Did you also sign up for the hosted archival service with BPOS?  Are you saying that the signature block of the emails will determine if the messages are archived or not?  With the hosted archival service you can certainly specify archival settings by the domain or user, but I'm not sure that you can do it based on signature.  It seems like it would be easy to by pass as a user could just remove the signature from a message if they didn't want it to get archived.  I'll admit that I'm not a Forefront expert, but I don't believe I've ever seen an option to do that.

  • Yes you can have selective archiving. Raise a service request for archiving and mention email id's you want to archive.

    Is there a way to pull email from Exchange online to our archiving solution? We use Sunbelt exchange Archiver.

    We are currently archiving with Sunbelt and it can use journaling. I just would prefer not to use journaling as it tends to slow done email access.

    Will the archived material show up in outlook online?
