Forwarding of external only email

  • We are looking at moving to Exchange Online using the E3 Office 365 plan. One of the main drivers for doing this, as a reasonably small organization, is that we can remove the need to have an on-premise Exchange server. We currently use (in our existing Exchange 2003 environment) the "mail monitoring" feature of GFI Mail Essentials to put rules in so that email to certain users in our organization has an automatic forward to another user. The context of this is that there's a boss and their secretary: an external email coming into the organization (from, for example, a client) is forwarded onto the secretary, so that the secretary can ensure the email is dealt with if the boss is away or cannot reply promptly. However, we don't want the secretary to see any internal emails to the boss in case they are relating to sensitive matters within the company. Does anyone know if we can achieve the same thing natively using Exchange Online, or if, indeed, there is another way to achieve the same end using another method?

  • Actually, there is a really simple solution for this.

    You can either:

    1. Create a transport rule indicating email coming from outside the organization to be bcc'd/cc'd to a specific target.

    2. Create a mail rule to perform the same using the set-inboxrule cmdlet
