Outlook 2010. Leaving messages on server.

    Question

  • Outlook 2010. Unable to - "5.On the Advanced tab, and then under Delivery, select the Leave a copy of messages on the server check box." . Delivery just does not exist. It runs next to 2007 which is fine.

  • You mean the option for leave on server does not exist? What type of email account do you use?

  • I use IMAP/SMTP type account which was auto discovered. I too cannot see the "Leave on server".

  • I you want to have your messages downloaded and stored on your computer which sounds like you might, then you will need to switch to a pop3 account instead of IMAP.  With IMAP when your server account or your Outlook account change the changes are repeated on the coresponding account.  Meaning if you delete an email in Outlook then it will be deleted off of the Server.  If an email is deleted from the server then it will be not show up in Outlook.

IMAP *is* a server account, so messages are always left on the server until you delete them in Outlook and purge.

Only POP3 supports the option to leave on server.

  • Ok thx, I understand. So if I would like to keep the mail, but not on the server I would have to archive the mail and then it will be removed from the server?

  • Yes, move it to a local PST file and purge the folder. (Edit menu, unless you have outlook automatically purging deleted items).

  • The option to leave or delete messages on the server does exist in Outlook 2010 but as usual Microsoft are making their programs more bloated less user friendly and less slick with time and thats why they are on the way down and Google and Apple are on their way up! Anyway here is how you do it---buried eight yes eight layers deep!!!!

File---Options---Advanced---Send and Receive---Select All accounts--- Edit---Account properties----Advanced---tick or untick "Leave a copy of messages on Server"

Yes, it exists, but for POP3 accounts only. The default setting is to leave it on the server for 14 days to protect users who  do what mail left on the server but forget to change the option when they first create the account.

  • HI Diane

Is there anything I can do with my IMAP server to ensure that messages are retained for longer than the default?

    Thanks
