Knowing Document Library Limits

  • Hi, how does one know when the limits on number of items and size have been reached on a document library? I've heard the theoretical limit is 5 million items per library. We have one site with a mail-enabled library containing one million items. Perhaps not coincidentally, we're also seeing some issues with the content database in question.

    We have a medium sized MOSS 2007 farm, with one SQL 2005 server.

    If the library is a problem, then how do we get rid of it? The data (mails) are all system alerts, and not critical. It's too big to open in Explorer.

    I first suspected this library might be a problem while watching something else completely unrelated. We had enabled item level auditing, and I was reviewing number of rows in the AuditData tables of each content database to make sure things didn't get out of control. Suddenly one day the number of audit hits on the site in question shot up by six million, and a select query showed that the user making the hits was the search service account, all on the one mail-enabled library. There happened to be a full crawl scheduled, and it seem to time out and fail on this database.

    It's entirely possible we have other problems, but wanted to see if anybody else had dealt with the same issue. I read some of Joel Oleson's blog, but didn't see anything to address this specifically.

    1. The limit of 5 million per list/library is *not* a theoretical limit. It is a fixed limit and can therefore never be exceeded.

    2. Recommended maximums (theoretical if you prefer) are 2,000 items per folder and 2,000 folders per list. (makes 4 million ...) or without folders 2,000 items per list.

    As with all recommendations these are just good values to abide with and may be exceeded however while you can have a few lists with over 2000 items without typically major problems (say up to 5,000) it would be unwise to go anywhere near the 2000 per folder; 2000 folders per list. (So your million is imo way over the top)

    In reality if you are having problems you have too many (and you should re-design so that you have more libraries/lists; more site collections with less storage used per site collection etc.). But there are no hard and fast rules apart from that 5 million.

  • OK, thank you very much for the comments.

    Of course the owner of this list would like for us to archive the files outside of sharepoint before we blow it away.

    Any suggestions on how this can be done? The list is too large to open in Explorer view.

    Can you map it to a local drive ? i(Net use q: http://<path-to-doc-lib>/doc-lib or something similar) If so you could copy the files from the local drive to somewhere else.  (Mapping usually works but then so does Explorer View so maybe in your case mapping doesn't work either)

    (Do not delete them from the local drive though - once you have them all, delete the document library in SharePoint to get rid of them)

    You can create very large document libraries by nesting folders, or using standard views and site hierarchy. This value may vary depending on how documents and folders are organized, and by the type and size of documents stored.
