Monday, April 09, 2012 8:25 PMI have added an external data field (called "Account") to an existing document library. My field performs a lookup to our external CRM database for account name, which is working just fine. I want the default view for the document library to group based on this account name field. I added the grouping to the view, but instead of grouping on the account name which is pulled in from our CRM database and stored in the document metadata, it groups on the word "Account". What am I missing? Surely SP allows the ability to group on the external data field??

Tuesday, April 10, 2012 2:22 PMThanks for the response, but that article doesn't solve the problem. I can see my external data field in the Group By dropdown list (in my case, this is called "Account") when editing the view. However, it does not group by the the actual Account Name - for example, "Acme Test Company", but instead it groups on the column name of "Account". I read the link you sent 3 times, maybe I am missing something but I don't think so.

That link contains some useful information. What the marked answer is suggesting is that the column you want to group by is invisible to the Grouping field as it's a Note data type, which is multiple lines of text. Grouping is usually done via single line of text fields when it's text based. You can confirm the data type by checking it via SharePoint Designer, which you should have used when you set-up the ECT.
The resolution isn't achieveable via either SharePoint or SPD GUI but it is via the CodePlex hosted project SharePoint Manager 2010. Download this and open it (it doesn't need to be installed as far as I recall, it comes with a config file). Once it's open, use it to change the data type of your external column from Note to "Text" and you should be able to group on it.

Tuesday, April 10, 2012 4:36 PMSteve, appreciate the detailed explanation, this makes sense to me now. I haven't come across the Sharepoint Manager 2010, but will grab it and make the change as suggested. Thanks!
