Awareness Planning refers to promoting the transition to Lync to your organization. This may include, but is not limited to, email communications, posters, launch events, brown bags, peer-to-peer evangelism (Champs).  As you work to create your awareness plan, remember that change management is sometimes the biggest obstacle when rolling out a new product or service and should be considered. Securing an executive sponsor is an effective way to drive this transition messaging.

Awareness Planning Key Tasks*

  • Lync on-boarding
    • Define your short and long term plan to drive messaging around Lync
    • Leverage available templates and resources to design and customize your own communication and awareness resources
    • Include transition steps in all communications to help users seamlessly move from one application to another
    • Update internal sites to reference Lync
  • Live Meeting ramp-down
    • Remove references to Live Meeting on internal sites

Best Practice Recommendations

  • Secure an executive sponsor to help drive messaging
  • Turn your pilot testers into Lync Champs to help promote the transition
  • Begin communicating well in advance to allow users time to reflect this pending change
  • Include Lync information on existing Live Meeting resource sites prior to termination to help promote transition
