  • There is an option in list version settings, Require check out option. Which is to specify whether users must check out documents before making changes in this document library. Not sure if it is the one you need.

    Whether you want to force to declare the item as a record when other user still opens the document?

    I am afraid there is no direct way to force declaring record on the document that has been opened by other users.

    As a workaround, we could enable the check out feature as Justin said, and we could through the library settings>Under Permissions and Management option>Manage files which have no checked in version or checked out by column to verify who is still using the document.

    And the you could contact the user to close the document for declaring record.

  • Hi All,

    Thank you every one for the responses.

    This is for co-authoring in SharePoint online.

    Multiple users can update the document at same time.

    My requirement is after 3 days document should lock .so no one can update document.

    For locking I am using SharePoint 2010 workflow "Declare as a Record" action.

    issue is if any of the user if they don't close the document .

    document is not locking.

    Is there any solution for this.

    Please let me know.

    Have you tested the workaround above to track the user who are editing the document?

    It’s by design that we couldn’t declare it as a record when other user open the document.
