how to backup a large SPList with 25000 records including attachements on SP2007 ? RRS feed

  • Hi,

    On SP2007 there is a sharepoint list (SPList) with 25000 records. The records contain attachements. In SP Designer 2007, the list has a size of 64MB.

    How can a backup be created ?

    Options investigated:

    1. Save as Template (incl content): gives an error message: "Failure decompressing data from cabinet file". So this is no option.

    2. Export to Excel: No option, since attachements need to be backed up also.

    How should you resolve this ?

    BTW. I don't have farm rights.

  • If not all the items (if only some of them) have attachements there is a chance.

    Create a site template without content.

    Cretae several Lists from that site template.

    Using Datasheet View copy sets of items  (a logical set of items if possible) without attachments from the massive list to a new one.  Then delete those rows.

    Then repeat for other sets of items without attachments and the next new list.

    At the end you should have several new *smaller* lists without attachments and a single list with attachments that is hopefully so small that you can now save a copy of it. Try to avoid ever getting such a large list again (helped by the fact you now have other lists available)

    (Also consider whether you need attachments at all because it might be you would have been better off using Document Libraries for instance if those attachments are to documents)

    There is no OOTB feature available for this so you have to do it through code or you may try with SP Content deployment tool wizard. This is available on codeplex.

    I have tried it for many list but never try for attachment.
