Resource syncing on templates RRS feed

  • Project Server 2010: Is there an easy way I have missed to have resources on a project template stay in sync with resources on the server?

    Our situation is that we have created many project templates (in project professional) that are associated with Enterprise Project Types.  As we hire/fire employess, we are having to open each template in project, add/remove resources and save the template back.  Is there an easier way that would allow them to stay in sync?

    We have 3 groups that our users belong to:

    Group A
    Group B
    Group C

    Each group has it's own set of templates with that group's resources.

  • As far as I know there is no way to sync the resources in templates.

    The best practice is NOT to use named resources in a template.

    If you have a need to indicate something like "Suggested Resources", you could create a text custom field and populate it with the named resources (as text).

    Other than that, What you are doing already, as a process, before deactivating resources is the only way to go.

  • I feared as much.  Unfortunately given the amount of possible resources each group (dept) has, adding them each time we create a project is too time consuming so it seems like manually managing the templates would be our only viable option.

  • Would team resources be a fit for this need? The Team resource is a proxy for a group of related resources who could potentially work the assignment.

    This way, you don't have to manage this at the resource level as you could abstract the org to the team level.

  • Treb - I had thought of that but with our setup and processes that wouldn't work unfortunately.

  • You would need to write custom code to automate this. I disagree that it is a bad practice to use named resources. Best practices have to fit the need.

  • I certainly never stated that it was a bad practice, merely that it wasn't optimal for our organization.  I won't go into too much detail but we simply aren't structured in a way that would facilitate this.
