Project Server 2010 - Alerts and Reminders RRS feed

  • Question

  • I am looking for clarification on how Alerts and Reminders work and the relationship between Server Settings & My Personal Settings:

Server Settings / Alerts & Reminders - this simply sets up the email service?

My Personal Settings - users must set their preferences to actually receive Alerts & Reminders. A user will not receive any email until they set their preferences?

  • Ben, thanks for your prompt response but I'm still not totally clear what Alerts are generated by the Server Settings vs. Personal Settings.

In Personal Settings: Allows user to set preferences for new task, modified task, reminders.

    Alert me immediately when:

    <input CHECKED="checked" name="idCBAlert1" type="checkbox" value="on" /> I receive a new task assignment in my projects

    <input CHECKED="checked" name="idCBAlert3" type="checkbox" value="on" /> My project tasks are modified

    Task Reminders

    <input name="idCBReminder1" type="checkbox" value="on" /> Send me a reminder <input name="idFreqValueText1" size="3" type="text" value="1" /><select name="idReminderTimeChoice1"> <option value="1">Day(s)</option><option value="2">Week(s)</option><option value="3">Month(s)</option></select>before my tasks start

    <input name="idCBReminder2" type="checkbox" value="on" /> Send me a reminder <input name="idFreqValueText2" size="3" type="text" value="1" /><select name="idReminderTimeChoice2"> <option value="1">Day(s)</option><option value="2">Week(s)</option><option value="3">Month(s)</option></select>before my tasks are due

    <input name="idCBReminder3" type="checkbox" value="on" /> Then continue to send reminders <select name="idRemFreqValue1"> <option value="1">Every</option><option value="2">Every Other</option><option value="3">Every 3rd</option><option value="4">Every 4th</option></select><select name="idReminderTimeChoice3"> <option value="1">Day</option><option value="2">Week</option><option value="3">Month</option></select>until my tasks are completed or they become overdue

    <input name="idCBReminder4" type="checkbox" value="on" /> Send me a reminder <select name="idRemFreqValue3"> <option value="1">Every</option><option value="2">Every Other</option><option value="3">Every 3rd</option><option value="4">Every 4th</option></select><select name="idReminderTimeChoice4"> <option value="1">Day</option><option value="2">Week</option><option value="3">Month</option></select>about my incomplete tasks

    <input name="idCBReminder5" type="checkbox" value="on" /> Send me a reminder when my tasks are <input name="idFreqValueText4" size="3" type="text" value="1" /><select name="idReminderTimeChoice5"> <option value="1">Day(s)</option><option value="2">Week(s)</option><option value="3">Month(s)</option></select>overdue

    <input name="idCBReminder6" type="checkbox" value="on" /> Then continue to send reminders <select name="idRemFreqValue2"> <option value="1">Every</option><option value="2">Every Other</option><option value="3">Every 3rd</option><option value="4">Every 4th</option></select><select name="idReminderTimeChoice6"> <option value="1">Day</option><option value="2">Week</option><option value="3">Month</option></select>until my tasks are complete

In Server Settings: States an email gets sent for their upcoming or overdue tasks.

    Schedule e-mail reminder service

The e-mail reminder service scans the Project Server database at the scheduled time each day, and sends e-mail messages to remind users about their upcoming or overdue tasks and status reports.

  • Server Settings / Alerts & Reminders - this simply sets up the email service? - Correct.  Once an SMTP server is input here, when a user is assigned a task and the project published, the user will get an email.  This is a new task alert.

Other alerts in Personal Settings (reminders etc) are sent at the time specified.  I think it is best practise to turn off all alerts initially, and then turn on the task reminders only.  I don't think it is good practise for resources to be notified of new tasks via email.

  • The server settings send the emails based upon the settings in the personal settings.  ie, if you have not selected anything in the personal settings, then you will not get any emails - though note that this can be overwritten by a Project Manager for their team.
