Issues with files being opened by other users

    Question

  • Since upgrading from Office 2010 to Office 365 (using 2016 now) we've been getting a ton of issues mainly with Excel saying that files are currently opened by another user, sometimes it's the same user that is trying to open the file. They also get errors when saving that say "The file xxxx.sls' may have been changed by another user since you last saved it. In that case, what do you want to do?"

    We are positive another user isn't in the file and that no user has modified the file since it was last saved. What would cause this? These files are stored on a Synology Rack station NAS and the user computers are Windows 10 Update 1803 and fairly new computers anywhere from 6 months to 1 week old desktops.

    Maybe I need more information to have a better understanding on this issue.

    • Does the issue only occur when using Excel 2016 to open or save the Excel files stored on a Synology Rack station NAS?  
    • Synology Rack station NAS? I am not sure how these files are stored. Does the issue only occur in specific path or folder?
    • Does the issue only occur with specific users or files? Do you share these files and co-author with each other?
    • Are other Office apps with the same issue?
    • How did you save the problem files in Excel? Could you describe it in more details?

    Please try to follow these methods below to check if the issue would be resolved.

    • When opening the problem file, make sure the file is closed on all your devices. If the error still occurs, wait a few minutes for the server to release the lock on the file. (Sometimes the server thinks you have the file open, and just needs to catch up with what’s really going on.)
    • Please check if Windows document previewer is enabled. If so, please disable it on all users’ clients to check if this issue would be resolved.
    • You can also check files on the path where the problems stored. Please make sure nobody are using the problem file. Go to the path and disable hidden files. If you see Excel temp file(such as ~$Errorfile.xls), deleted it, then try to reopen the problem to see if it works.   
    • Please try to save these files to another file format to see if the error message would still appears.

  • Thank you for the reply. It seems to only happen in Excel, but we us excel for 95% of all our documents.

    The NAS is setup as mapped drives on each computer. Issue seems to occur on everyone's computer. When they save it they just hit save and hit ok on the error message.

    I'll see if the windows document previewer is enabled, if it is I'll try to disabled it.
