Project Online What do I really need? RRS feed

  • We are building a standardized Program Management system to utilize for all our clients as an offering.  We would like to utilize it for all of our projects we are managing as a portfolio system.  More specifically, we would like to also utilize it for a specific customers and their sub projects/portfolios without having the information cross-contaminate.  

    Each project will have it’s own lead or Project Manager but importantly it will have various resources that will need to update their effort, progress/status, and specific notes for each task within a project.  As resources could belong to various different companies, the ability to independently log in to an online system, only see their assigned projects and tasks, and submit the above key elements is required.  

    As each individual project is aligned with Specific Initiatives, the ability to develop managerial reporting Key Performance Indicators will be a critical output component.  Access to these KPI’s will need to be via online log in and role based so those specific users go directly to the KPI’s and not have to navigate through and create/run a specific report to gain their statistics.


    1. Does each consultant/resource enter their updates through the “timesheet” mechanism described in the Tour? i.e Project Lite
    2. Is that time exported in any certain format?  Or, are their any existing API’s that Project Online interface with or that have been tested/built already?
    3. Excel Services for Share Point was mentioned in the tour, what role does this play in the functionality and delivery of output KPI’s from Project Online?  Is it required or is it an additional tool/module that needs purchasing to further enhance your KPI output?
    4. If projects exist in other company’s share point servers, it is merely restricted to their security requirements for access where a link is provided?  Is there a place where credentials could be stored?
    5. If projects exist in other company’s share point servers, is there a mapping mechanism in place to pull that data set into existing Portfolio KPI outputs?
    6. Are there existing and intuitive/realistic User Interfaces to build these KPI’s, workflows, etc.?
    7. What are the setup packages offered for business scenario planning from Microsoft or a Partner?

  • For question 1, take a look at this short video to see the update cycle.

    Time can be exported via the OData interface. This is how PowerBI gets the data for reporting.

    KPIs are simply conditional formatting in Excel Services. You have to do the work (or get someone to do it) to create the supporting queries, transformations and conditions. Between Excel and PowerBI, I think you have what you need.

    I'm not clear on #4 and #5 as the projects would be in your PWA instance, not elsewhere.

    #6 would be Excel, PowerBI and SharePoint Designer for workflows.

    #7 There are several partners (including yours truly) who can work with you to outline the scenario, requirements and handle implementation.
