How to send a year's worth of outlook calendar invites to organization without flooding everyone's inbox RRS feed

  • Every January, our company needs to make loads of outlook calendar invites to send to all employees in the organization. While some of these could work to meet the parameters required to make them a recurring series, others such as pay dates are unique dates each year and need to be customized. With something like 100 of these every year, it is a real pain and loss of productivity for every employee to have to click accept on that many invites. Is there a way to add dates to an organization's "master calendar" without blasting everyone's inbox with calendar invites? Thanks!

    If you are in an Exchange environment, it is suggested to contact your Exchange admin to create a shared mailbox and then take advantage of the shared calendar associated with the shared mailbox. For more detailed information, you may refer to the following article:

    Open and use a shared mailbox in Outlook 2016 and Outlook 2013

    As an alternative, you may consider sharing your Calendar with your team mates instead and set what is visible. To share your Calendar, right click on it and choose Properties. Here you’ll find a Permissions tab where you can add people and grant them specific access rights. See this article for more details.

    Please note that, compared with directly sending meeting invitations to all employees, the methods above won't trigger the meeting notifications since users can only receive the calendar notifications for their own calendars.
