Email missing in Sent Items folder RRS feed

  • Hi there.  We are using Outlook 2016 with Exchange Server 2016 here.  One of our user reported some of his emails were missing in the Outlook's sent item folder.  Those emails weren't available in OWA either.  However, the mail flow log in Exchange server do shows those emails were being sent out.  They were just not showing up in Outlook or OWA's Sent Items folder.  I've ensure the option "Save copies of messages in the Sent Items folder" is un-checked and re-checked.  Also rebuild the user's Outlook profile, but he still missing emails in the Sent Item folder.  Any suggestions?

    By this, do you mean only a partial of the messages he sent out were missing? 
    Is this a recently occurred issue and all old sent items are still existent in Sent Items folder?

    Please try searching within all Outlook Items using a few key words of the missing mails and see if the mails can be found in other folders because of certain rules.

    If it doesn't help, please try to test on another user's machine by creating a new profile for the problematic user and see if the issue persists.

  • Hi Yuki.

    Correct, only some of the email he sent out is missing in the Sent Items folder.  This is purely random, his older email remains in the Sent Items folder.  He noticed this problem on early March where he need to look over some of the sent items for reference. 

    He do not have any Outlook rules created that might move those emails to different folder. 

    I've re-created his Outlook profile on the same computer, but those missing email still not showing up.  Neither on his mobile device and over OWA.....

    Since this is a randomly occurred issue, it may be difficulty to troubleshoot. 

    As we have discussed above, have you tried using the search feature in Outlook to see if the missing items can be found?
    Will sent messages disappear if the user sends emails in OWA or on mobile device other than the desktop client?

  • Hi,

    Was the user "Sending As" a different mailbox, i believe emails sent like this appear in the mailbox you are sending "as", rather than your own.  Just a thought!
