Handling more dynamic approvals RRS feed

  • Hello,

    Im working on finding a solution for our approval situation.

    For instance, we have a service request for ordering a computer in the portal. This is something that anyone in the organization can do.

    However, only some are actually allowed to do this "out of system". Thus I need the approval workflow to activate in only some cases.

    The "line manager should approve" function is great. But I need it to know when to trigger depending on who is making the submission.

    I have tried convincing them of a "out of system" policy for handling these orders but they want the system to handle it for them.

    Any suggestions?

  • Some clarification. Is there a way to set up so that when a user submits a request, he can specify who the recipient of the service is, so that the approval will go to that persons manager.

    If using only the "line manager" function it will happen that a manager orders for his staff and then the "managers manager" will get the approval request..

  • Hey

    One way to go is using Orchestrator which allows you to build dynamic approval scenarios. Imaging this activities in your process (SR):

    Activity 1 --> Review Activity (to review)
    Activity 2 --> Manual Activity or Runbook Activity (to do the work)

    You could now add another Activity before the 2.

    Activity 0 --> Runbook Activity (set dynamic approvers)

    This activity triggers a runbook that checks some inputs from the user and then dynamically sets the approver in Activity 2.

    I have realized that Orchestrator is what i need to do to get the approval workflows the way i need.

    Is there a more detailed guide than the one Anders Bengtsson wrote on the subject at http://contoso.se/blog/?p=2872 ? I struggle to configure it properly.
