  • Question

  • Hi All,

I am working on project portfolio which has 40 projects. I am in the area of release planning and managing periodic releases. If there is a exception release in a project, it should get a proper approval and find out impacts on other projects.

At the moment we have been using 4 excel documents  to maintain all  these information , but it is kind of a manual process, but I am looking for a better automated   process in SharePoint .

Is anyone can direct me what are the facilities available on SharePoint such as reporting, automated forms filling , information distribution or notification etc?

  • Thanks for this reply,

I want to make online form on sharpoint that can be used to capture all information about a project.  When  a project starts, the owner or Project Manager should go to the share point and fill out the online form. Once the form has been submitted, SharePoint should keep these information and send a notification to all relevant party about this action.

If Project Manager fills 40 forms for 40 projects , all should save in share Point.  Furthermore, At any point in time there should be a way to generate a graph report that should show all projects information in one view. Such as whether any conflicts between projects release dates, any dependencies, more than one project impact a system at the same time etc.

About me:  I am familiar with share point in uploading and maintain the version number of the documents.  And have a little bit of experience in programming using .net

Anybody can help me on this.

  • I see no answer in that long post to my question (Which SharePoint product are you asking for solutions for ?)

It's a simple answer that requires a simple question.

Are you looking for an answer for a 2007 SharePoint system or for a 2010 SharePoint system?

Depending on the answer, I will either leave the thread here or move it.

  • JPMO,

Your question is a bit vague, you're asking a loose question based on migrating Excel based project management processes within SharePoint, whilst not defining what these processes are AND telling us you don't have time to do much of the reading.

How do you think that'll impact the quality of response we give you?  Additionally no one is going to do the work for you.  If you can be a bit more accurate on what you'd like, we can propose solutions and links as appropriate.

  • Thanks for your response mate,

I am trying to develop a Project Portfolio Dashboard on share Point. The Portfolio has 45 projects. Having these portfolio will help to see progress of the project in one view.

Currently the portfolio information is being maintained in a spread sheet. First few columns of the spread sheet has the following fields.

    1.       Project ID

    2.       Project Name

    3.       Priority

    4.       Number of resources

    5.       Efforts( days)

    6.       Group name.

There is a 3 years calendar view followed by the  above columns. All projects are drawn on this calendar( like bar slides – eg: Gant chart) and releases are noted on this bars for each project.

I usually talk with Project Managers to understand their project progress  and update the spread sheet if there are any changes in projects.

Above these  tasks are manual process, I would like to automate this process such as

    1.       Project Manager fill out an online form that available on share point.

    2.       Once PM submitted the form I receive a notification and the form details will save on share point.

    3.       I will go through the form and update the Project Portfolio Dashboard on share Point.

In order to do the above,

I want to know from you

    1.       How to create online form on SharePoint.

    2.       How to setup a form notification and make things change on share point.

    3.       How to create Project Portfolio Dashboard on share point.

    4.       How to update the portfolio  with the form details.

I explained as much as I can about my requirements, is anybody can me help on this please?
