when upload document, it is in draft status RRS feed

  • When a user uploads documents to a sharepoint document library, the documents are in draft folder, user has to check it in so that other users can see it.

    As administrator, where to see all such draft documents?

    If your site is a publish type in sharepoint 2007, as administrator, you can find all draft file. Site Actions->View Reports->All Draft Documents. You can also to set Draft Item Security to let some people who could  see draft items in this document library. Settings-Document Library Settings->General Setting->Versioning settings->Document Version History(Choose “Create major and minor(draft) versions”)->Draft Item Security.

    Go to document library settings and click on manage checked out files and there you will see all files those are checked out.

  • The "manage checked out files" link, in 2010 is called "Manage files which have no checked in version" which better describes the actual function of this link. It will only show you the files that have been uploaded, via a multiple file upload operation, that were not checked in yet. Such files are only visible in the library by the person who uploaded these files in the first place. This situation only occurs when you upload multiple files at once into a library that has require checkout enabled.

    If this is the situation you are running into, then yes, you can see these files by using this link. If a user uploads a single item, they will be prompted to check it in upon upload.
