Shared mailboxes - default From RRS feed

  • Question

  • Hey,

    Exchange 2010 SP3 + Office 2010 SP2

We have teams who each have a shared mailbox.  This shared mailbox is added to Outlook as an additional account.

We have a transport rule to redirect incoming email to members of the team to this shared mailbox, and another to BCC outgoing emails from members to this shared mailbox, so basically this is their main mailbox.  This has been done so that if somebody is away anyone else in the team can access emails the absent member has sent or received, without having to have a load of mailboxes added or without having to open another user's folder (which only works for Inbox anyway)

We want members to be able to reply to an email in the shared mailbox but have it come from them.  This is done for the 'personal' effect when communicating with our clients.  But Outlook defaults the From address to the mailbox the message is in when hitting Reply.  We need to change this behaviour.

I have seen the registry value 'NewItemsUseDefaultSendingAccount' - is there an equivalent for Replies?

    Thanks

  • Hi Lanky,

Do you mean you want to the From field for the shared mailbox replied message is shown as the actual client user instead of shared mailbox?

If that is the case, the client user should add this shared mailbox as additional mailbox or Automapping feature instead of an additional account. Then there is only one primary account in Outlook. Thus, the reply message from shared mailbox will use the default primary account configured in Outlook as From field automatically.

To do it, please remove the additional account in Outlook, restart Outlook and add it as additional mailbox by:

Go to File > Account Settings > Account Settings, double-click the client primary Exchange account, click More Settings, under Advanced tab, click Add to open this shared mailbox as additional mailbox.
