Project Server Approval Workflow Problem RRS feed

  • I have a customer who has a series of EPT's set up with Project Server Workflow phases and stages to align to their project governance model. We have also introduced Dynamic Workflow for approval when PDP's are submitted to the next stage in the Project Server Workflow. Most users get to see their Workflow approval tasks having included a link to this page in PWA on the quick launch.

    There are however a couple of candidates (for Example Manager B) who are set up to approve stages in the workflow that are not seeing any tasks in their Project Server Workflow Tasks page even though the workflow has been checked and they are shown as being approvers.

    In the Dynamic Workflow settings the correct users are definitely identified.

    Workflow tasks are generated when PDP's are submitted.

    Workflow Tasks are being generated allegedly routed to the correct recipient.

    However the recipient can see nothing in their Project Server Workflow tasks page even when they select to view "All Tasks" from the drop down "Breadcrumb".

    Other users (for Example Manager A) who receive workflow tasks in the same approval stage can see their tasks and can see the tasks intended for Manager B when they elect to view "All Tasks" in the list.

    I have checked with the customer and they have not identified new approvers for workflows that are already in progress which I thought might be a possible cause of the problem.

    Has anyone else experienced this "feature" and if so how did you overcome this issue.

    FURTHER Information - forgot to mention that if the affected individuals are added to the Administrators security group in PWA they are then able to see their Project Server Workflow Tasks.

  • Hi Dominic,

    If the tasks are being generated and the other users can see them in the library, it sounds like it might be a permissions issue and that user cannot see the content of the library for some reason.

    Have you checked the permissions on the list and made sure it's not been overridden or had it's inheritance broken? In the list itself, what does a check permissions show for the user who is having the issues?

  • Thanks for your answer Alexander,

    I spent a bit of time investigating things further after posting this question and took a look at two things - the "Manage Lists" permission within PWA Security and also the list permissions as being possible resolutions to the problem being encountered. The thing that made me look in these places was the fact that elevating the user to be a member of the Admin group resolved the problem. I have passed on my suggestions to the customer as I cannot remotely access their instance of Project Server due to security considerations and hope to hear back.

    It sounds like where I looked is probably the right place so thanks for validating my crude analysis, I will let you know what the outcome is soon.
