IMAP Inbox wont Synchronize automatically RRS feed

  • I am working in Outlook 2016 home and business. About a week ago the IMAP inbox started having synch problems. Hours would pass before any new emails would come in. I would check my webmail and could see new messages in the box. In outlook when I click send/receive I see the send receive status near the bottom and it completes without errors. I found that I can click on another folder like sent, or junk and then go back to the inbox and the synchronize animation will show up near the bottom right and then email will finally come in.        Here is everything I have tried so far:    uninstalled antivirus,  ran repair on office 2016,  ran scanpst on my ost file -- not sure if scanpst is intended for an ost file but it seemed to complete ok and said it fixed some errors,   uninstalled and reinstalled office, created a new profile -- still had the same problem-- archived old email till inbox only had 5500 emails.  After all that I was still having the synch issue.  Yesterday I used the microsoft fixit office removal tool and reinstalled office again. It then started to bring in mail by itself. All day everything was fine but the next morning emails stopped coming in around 4:30am and couldn't get the inbox to synch again -- even after another folder was clicked.  

    I noticed it takes a long time for outlook to close as well - for at least a minute maybe more outlook.exe still shows in task manager.

    Any ideas?

  • Hi Ginovasi,

    Does sync issue only happen to Inbox?

    What's the size of Outlook data file(.ost)? If the size if too large, this issue will easily occur. Normally, the recommended size is around 10 GB. In this case, I'd like to recommend you archive your mailbox.

    Besides, according to my research, it can also be related with root folder path. To check this, please follow steps below:

    1.  Go to File > Account Settings > Account Settings.
    2.  Double click your IMAP account.
    3.  Choose More Settings.
    4.  Under Advanced tab, set Inbox as the root folder path.
    5.  Restart Outlook.

    Besides, have you tried running Outlook in safe mode? This helps eliminate whether the problem lies on any third party add-ins. Please exit Outlook, press Win key + R to open the Run command, type outlook.exe /safe and then press Enter.

    I did archive the inbox to where there were only 5500 emails -- there were over 60000 before. I don't know the size of the ost file but it was 4GB before the archive so Im sure it is considerably smaller.  I had thought about trying safe mode before and forgot -  I'll give that a try next time I see her -- that's a good idea.

    You probably want to be careful suggesting to change the root folder to "inbox" -- I tried that and it removed the sent items folder and all other folders she had created -- along with the emails in them. Luckily with it being imap I could fix it by simply recreating the folders using the exact same spelling as they were before then they were able to synch with her webmail and bring the emails back in.  I had the sent items folder backed up.

  • Also -- About your question - does the sync issue only happen to the inbox --  I'm not sure. I haven't left one of the . other folders open for long at all. I do know that every time I switch from the Inbox to any other folder the synch animation shows up for a second down at the bottom and then when I go back to the inbox the animation will say synching inbox.

    Does Outlook show “Connected” for this IMAP account? We can also configure another account on this Outlook client to see if same issue also occurs.

    As per your concern, we can backup mailbox first and then set root folder path to test the result. Because root folder path is a possible reason for Inbox sync issue.

    To check the size of .ost file, we can go to File > Account Settings > Account Settings. Under Data File tab, choose your account data file and click Open File Locations. You'll see the .ost file.

    Besides, does safe mode works on your side?

    In case this issue was caused by software conflicts, please try performing a clean boot in Windows to check the result.
