Outlook messages and attachments downloaded in my hard drive, how to stop this? RRS feed

  • Hello, 

    I updated from office 2011 to 365 for Mac. Setting up Outlook (IMAP from my University -gmail- account) wasn't too complicated after I found the proper steps. However I cannot stop Outlook from downloading all messages (+20,000) and attachments into my computer. 

    I have tried to follow the suggestions on downloading only headers here: https://support.office.com/en-us/article/Advanced-IMAP-account-settings-for-Outlook-2016-for-Mac-36548ee7-9c0b-4574-8ddf-331833822d6e

    And manually deleting the folder in my hard drive to release some space (+15 GB) located: HD\Users\MyName\Library\GroupContainers\UBF8T346G9.Office\Outlook\Outlook 15 Profiles\Main Profile\Data\Message Sources

    But as soon as I delete it, Outlook downloads it again.

    What I am doing wrong? How can I leave all messages only on the server without having a copy in my hard drive? and How can I permanently delete these?

  • Hi,

    According to my research, this is by design that Outlook will save a local copy of all the messages to this folder. In addition to emails and attachments, it also contains the cache and settings in the Outlook for Mac app so that it could have a larger size than the size of all the emails and their attachments.

    If you select to download only headers in the Advanced settings, the old emails will take up fewer disk space.

    You could also back up your messages using the external USB and then delete that account, re-add it again to see if it works. Please refer to the details in this link.
