  • If you have full mailbox access, are you seeing the meeting on the calendar?  If you are, you should be able to right click the meeting, then select Decline to remove it from the calendar.  If you can't decline it, or if you can't see the meeting on that calendar, try doing the same thing in the web client, OWA.

If you are still not able to remove the meeting this way, you may need to remove it using MFCMapi (http://mfcmapi.codeplex.com/).  For this, you will need the time and date of the meeting - if you know the meeting organizer or subject of the meeting, things will be simpler.  Once you have the tool and the meeting info, open an online profile in MFCMapi, then double-click the mailbox for this room. This should show the Root Folder for the mailbox - click the triangle to expand it.  This will bring up a listing of the hidden folders in the mailbox. Scroll through this list until you come to Top of Information Store and click its triangle.

You should see the Calendar near the top of this list - double click it.  This will open a new window with a listing of the calendar items - what you are looking for now is one that matches the meeting organizer, subject and start time.  If you don't have the organizer or subject, you will need to key only on the start time of the meeting you wish to remove - this will be in the PR_START_DATE property the meeting, so you will have to browse through the items one at a time until you find the one you are looking for.  (This is why it's so much easier if you have the meeting organizer.) Once you find it, you will want to delete it - make sure you delete it to the deleted items, in case you get the wrong item.

Once you have found and deleted the item in MFCMapi, it should also have been removed from the room calendar.  If it has, your work is done.  If is hasn't, you will want to check the deleted items in Outlook and find the meeting you deleted and replace it on the calendar.  You will then go back to MFCMapi and see if you can find the right item you are trying to delete.

  • You need to remove this appointment if you want to book the room.  To remove it, you need to add an account as the room delegate, then use that account to open the room calendar and delete the appointment.
