Assigning Resources in PWA RRS feed

  • Hello Everyone.  Here is our scenerio:

    We have resource managers who are responsible for assigning resources to tasks across many projects. Our PMs assigns a generic resource to the task and the resource manager assigns the actual resource based on availability.

    My question is, what is the best interface for the resource manager to review all the outstanding requests and make assignments?   Viewing the outstanding requests is easy.  We have a custom field (scheduling status) that PM sets when they are ready for an assignment (value = Ready to Schedule).  We have a resource assignment view that shows all those tasks.  Simple.

    Now the Resource manager has a list of outstanding requests.  They can use the Resouce availabilty page to find a resource that is available.

    Now it gets tricky.  How does that resource manager assign the resource and update the Scheduling Status field?  Ideally, they would do that right in the resource assignment view they used to identify the need (mentioned above).  However, it does not appear that to be possible.  Is that correct?

    If so, what is the easiest way for them to edit that.  Opening each individual project would be very tedious. 

    Is there a EDITABLE view that we can create that will show all tasks/assignments where "Schedule Status" (custom field) is "Ready to Schedule"

  • One way would be for the PM to assign the Generic resources in a way that would allow the Resource manager to just replace the generic with a single real person using the PWA Build Team page. If the generic assignment represents a single person then this is possible. The RM can review the assignments using the Resource Assignment or Resource Availability views. I would suggest that the RM not need to update the field. A task with a real resource should have it's field value ignored. It would only be generic assignments that need that field.

    If your generic resources represent many people then the only way would be for the Resource Managers to have the ability to open the project in the schedule web part or MS Project. That would allow much more detailed assignment ability and allow you to update your custom field.

  • In addition to Brian's answer, another option is to set up the resource allocation process by email - so the RM views the required allocations as you've already suggested, and then uses a standard email to respond to the PM.  That way the RM does not have to perform any allocations, and an audit trail is created via the email.  This has worked quite well on a couple of sites I've implemented.
