Early Warning Indicators in Microsoft Project 2013 RRS feed

  • Question

  • Hi,

Can anyone tell me how to fulfil the below requirement in Microsoft Project professional 2013?

    Requirement: Early Warning Indication

I need an indication when a task is nearing its finish date. For instance, "Task A" finish date is nearing, before 2 days I need an indication saying only 2 more days to complete.

If this can be done using custom field formula, please send me the formula.

    Regards,

    K.Gokulraj

  • This is no current finish in the formula, just finish and current date. The current-finish calculation was just for me to test the calculation, so you don't need it.

Use a flag field, just as I did in my screenshot.

Try to replace the ; by the , or the other way around.

    Hope this helps,

  • This is a flag formula which returns a binary result, 1 or 0. Basically the formula states that if the condition is fullfilled (deadline - current date less than 3 days and current date after the deadline and task not completed), then the flag is equal to 1, otherwise 0.

Finally we use the flag value (0 or 1) to display a graphical indicator.

    Hope this helps,

  • Hi K.Gokulraj,

Here is a proposal with a flag custom field with a formula:

    IIf([Finish]-[Current Date]<2 And [Finish]-[Current Date]>0 And [% Complete]<100;1;0)

    and a graphical indicator:

This formula displays a red flag if the task is finish in less than 2 days, not considering tasks completed and tasks in the past.

    Hope this helps,

  • This is the result (note that the "current-finish" field is just for testing the value, not required):

Since it is a flag, you can use it for grouping and filtering, and also format a specific bar style in the Gantt.

    Hope this helps,

  • Hi K.GokulRaj,

In addition to 'Guillaume Rouyre' response, you also may want to consider using the out of the box field if it adds any further value based on your requirement, which is 'Status' field.

Here is the further details about this field – https://support.office.com/en-za/article/Status-task-field-769145ac-e052-45af-a847-e5ef15778bb1

  • Hi,

    Thanks for your reply.

    I receive the attached error.

Also, what is the current finish field? Do I need to create it? If so, which "Type"(Number, text, flag etc) I have to select?

    Please help.

  • Hi Guillaume,

I need the same early warning indication against the deadline date.

Early indication should occur 3 days before the deadline date.

Is this the formula for that?

    IIF([Deadline]<3 And [Deadline]-[Current Date]>0 And [% Complete] <100,1,0)

    K.Gokulraj

  • Hi,

For using the deadline instead of the finish date, use exactly yhe same formula replacing [finish] by [deadline]:

    IIf([Deadline]-[Current Date]<3 And [Deadline]-[Current Date]>0 And [% Complete]<100;1;0)

    Hope this helps,
