Assigning Risks and Issues Question RRS feed

  • Hi,

    I would like to be able to assign risks and issues to users who are not PWA users or even on Active Directory. These are names of people and sometimes companies as well.

    I have tried adding a generic resource and a non 'logging in' resource but these do not seem to come up when I use the Assigned To field in Risks or Issues.

    Can anyone help?

  • Hi there--

    The out of box, Assigned to field look for the resource name from Active directory of your organization. If you don't have the external resources/company name setup as domain user account, You will not be able to put these on "Assigned to".

    You may need to create a custom column (e.g Custom_AssignedTo) on the Risks/Issues list which gets the Lookup records from Contact List. You may need to keep updating your contacts list. You can easily import the data from excel to contact list or automate to udate as desired. Please note that do not delete/update the any out of box risk/issues lists columns.

    Thanks for the reply there.

    As I suspected then. The company want to avoid licensing costs so the domain user account is what we are trying to avoid. Its purely for a report (which we are yet to build).

    So in your reply, you mention a contacts list. Which one is this? Can you provide some basic steps? I am not a programmer (if thats what you mean to do)

  • HI there--

    You don't need to write a code for that. What I mean is to have a Site teample where you have out of the box Contacts list (Site Actions> View All site contents> Under the Lists , Contacts list). You can create a new column (Custom_AssignedTo) from Risks/Issues list from List settings & get the value (Option: The type of information in this column )from a lookup , When you select the Lookup, You can see in Get information from dropdownlist will be loaded from the Lists & select the Contacts (You can choose to have the first name, last name or email etc).

    You can have both the fields like Assigned to & custom assigned to on Risks/issues from & setup the process while finning in the info.

  • Thanks, so will this work in the terms of saving the site as a template? I understand each time you publish a new project, new guids etc are generated. Will this work ok?

  • While creating a template on project site , you will save the template with contents, You can fill the contacts & save it. When you create a new site of project, list will be loaded with data.
