Exchange 2010 - working with cached conference rooms that no longer exist RRS feed

  • Question

  • Hello everyone-- We recently hid certain conference rooms from the GAL. Users who used to be able to book reservations in the past are still able to view them on their cached outlook profile.  I've restricted the conference rooms so that normal users will not be able to send e-mail to the resource, it's hidden from the gal and the attendant is not turned on.

Is there a way I can make it so, if a user tomorrow attempts to access this restricted mailbox on their outlook (cache mode), they will either receive an error message stating the conference room no longer exists, OR just to remove it altogether in Outlook without having wipe everyone's cache file and start over.

Let me know if you need clarification. Thanks

  • Hi

Sorry, You havent informed, what is your requirement.

As you know, Users cannot book the conference rooms and its not Showing in GAL after hiding the conference room in Server side.

You have to delete the Outlook Auto Cache in all the computers, or recreating the outlook profile will delete the auto cache information. Its not possible to sit in all the computers and perform a auto cache deletion.

Best way is to send a mail to inform, that normal users are restricted to book the conference and there wont be any attempt in book the room.

As Andy informed, make sure normal users are not having delegate access on conference rooms

    Thank you

  • I was trying to simply the process for the user in the event they fail to read the announcement. Removing the Outlook cache file would be tedious for 400 users. I've restricted the mailbox to only accept messages from myself so if someone does attempt to book against the conference room they will receive an NDR.

    Thanks for the prompt response.

  • I would check any delegated permissions on the calendar of that resource mailbox and remove any that allow user to view it.
