printing accountability RRS feed

  • Question

  • Hi,

our bussiness requires to have mgmt reporting on who printed what, en when. These values should be available (and preferrably importable in SQL):

    • Printjob date
    • Printed file
    • printer used
    • double-sided
    • color
    • username

We currently have a Win2k printcluster. As WMI doe not help a bit on the cluster, we currently have a script that reads the event log. This offers good info, but misses information about color and/or doublesided prints.

~80% of the printing environment is HP based, the rest is a mix of labelrprinters, high volume printers and some special purpose devices.

We prefer not to purchase or install third party (non Microsoft) tools  for this. So we went looking for solutions offered by Microsoft. A consultant talked about functionality in System Center that would meet our requirements. He could however provide no details about what could be reported on. A proof-of-concept install of system center operations manager and maybe configuration manager is planned for other reasons, so integrating tee new reporting infrastructure into System Center surely is a valid option.

    Therefore I have these questions:

    1. Does System center provide ways of reporting on printerservers? Which are the requirements for that? Is this fully cluster-aware?
    2. What tool do you use or recommend for managing accountability for your printers? pro's and con's?

thanks in advance for your swift response!

  • The idea of implementing a good accountabilty tool is not to spend more money on outsourcing the printerdeal, instead to bring more money in by letting users pay for what they consume.

On top our environment is not very well suited for a nice  and smooth outsourcing project; we would have to replace a lot of printers to meet brand requirements and some of our printers are integrated into the production machinery.

An outsourcer would use a tool, so I am wel interested in which tools are availbale to gather these kind of info.

I am suprised no-one her has had the same questions, and even more that no-one here seems to be able to provide info on how MS considers it to be done. i would really like this to be possible with System Center reporting...

  • Hi,

you may always engage a print company like either HP or Fuji Xerox, outsource your entire print solution to them and let them manage it for you :) you need not worry about toner catridges + paper and hardware failure. You can even ask them to provide you the monthly report on high usage or even who is the peak user.
