How do i export office 365 mailboxes to Outlook format? RRS feed

  • Hi, I am looking for a manual solution to export Office 365 mail items like emails and contacts to Outlook PST format. Can anyone help me out from this situation? I don't want to use third party tool.

  • Hi,

    You can follow the free and manual technique here:


    • Login to Office Account online with your Administrator credentials
    • Now Go to Admin  and select Exchange
    • Click Permissions from the left pane. Go to Admin Roles >> Discovery Management
    • From the option of Discovery Management, click ‘+’ sign to add Roles
    • Now click on ‘Mailbox Import/Export’ below roles
    • In the ‘Members’, click the ‘+’ sign again and click once on the name of the user
    • Click on “Save” after finishing the necessary steps
    • Next, Go to “Compliance Management >> in-place eDiscovery & hold” and click on the New (+)
    • From “In-Place eDiscovery & Hold” dialogue box, type the name and click on the Next button
    • After that choose the all mailboxes by clicking on “Search all mailboxes” or the selected ones by “Specify mailboxes to search” option and adding the ‘+’
    • Set the filters and click on the Next button from the next ‘Search query’ screen
    • The next dialogue is “In-Place Hold Settings” from where you can specify the number of days for which the items are to be kept before they are deleted from the server
    • After that, click on the “Finish”
    • After a confirmation message, click on “Close”
    • Now finally search list will be displayed, after that click on the downward arrow to export the .pst files

    With this method you can export the office 365 mailbox to Outlook PST. But, this is lengthy technique and sometimes leave the mailbox items in unexported form.

    Using these manual solution Export emails from your Office 365 mailbox to PST file. An applicant can add Office 365 email account to Outlook 2016, 2013, etc. and now the user can use Outlook to export email, contacts, and calendar items. Let’s Start:


    1. Open Outlook and selecting File > Add Account. By adding Office 365 email account. After adding your email address and password and click to connect.

    2. Now Outlook will automatically sync with Office 365 account. The contents of your Office 365 mailbox to appear in the Outlook account.

    3. From the export instructions select to export your email from your source account to a .pst file.

    4. From the export, instructions select and then export your email to a .pst file so that the data of any Office 365 account can be ported to any Outlook account.


    But one thing manual solution ae not trustworthy no data security will be there after conversion and if you are from the non-technical background then try to use some good expert solution. Which will maintain the hierarchy of the folder. And always try the demo version to have an idea about the utility.
