Search couldn't be completed RRS feed

  • Hi

    Outlook 2016 on Win 10 Pro 64 bit with Exchange 2016 backend.

    Outlook 2016 previously connected to Exchange 2010 recently upgraded to Exchange 2016.

    When trying search in Outlook we get this;

    Suspicion is that this began after upgrading to Exchange 2016. I have tried below without success;

    • Run sfc /scannow, no issues found.
    • Rebuilt indexes.
    • Renamed existing ost file and forced Outlook to create a new one. 
    • Reinstalled Office 2016.
    • Trying to install KB4025342 cumulative or delta update says 'this update is not applicable to your computer'.

    Below are the updates installed on pcs. How can I fix this?

  • Hi,

    What's your detailed Outlook 2016 version number? Go to File > Account > About Outlook to collect the information.

    In additional, try to disable using Exchange cached mode in Outlook to restart Outlook 2016 with Online mode. Then search the mailbox and confirm if the results can be returned.

    Also try to search the mailbox in OWA 2016. Any updates in your side, feel free to post back.

    Product details below. In online mode or in OWA 2016 this error does not come up during search.

  • If there is no issue in Outlook Online mode, I suggest we can try to create a new Outlook profile for the moved mailbox.

    1. Go to Control Panel > Mail > Show Profiles > Add, then setup this IMAP account in new profile.
    2. Set "When starting Microsoft Outlook, use this profile: Prompt for a profile to be used".
    3. Start Outlook, select this new profile and confirm if the issue can be fixed.

  • There are various causes behind  'Search couldn't be completed’, ‘Search results may be incomplete because items are still being indexed’ or search algorithm is not working correctly.  To know some of the methods, you can check out the blog ;

    How about the issue currently? Does the issue only happen to one specific user? I would like to know if you can search file in File Explorer to test if the issue is related to the Windows Search feature instead of Outlook search.

    If there is no results when you search the file in File Explorer, I suggest you can keep installing the latest updates for Windows or perform a clean boot in Windows to have a try.

    If the issue only happens to Outlook client, please check the following settings:

    In Outlook 2016, go to File > Options > Search > Index Options, click Modify to make sure Microsoft Outlook is selected. Go to Advanced, click Rebuild to rebuild Index to have a try.

    Seems Outlook 2016 users are facing this issue. This occurred when SBS 2011 was replaced with Win 2016/Exchange 2016 combination at the backend.

    Have you tried with File Explorer? Do you mean the search issue only happens to Outlook client? And all Outlook 2016 clients?

    Issue seems to be with Outlook 2016 users and not with Outlook 2013 and 2010 users. File explorer network drive search is on and off (Indexing options disabled automatically) but despite that non Outlook 2016 users have no problem searching in Outlook.

    HKEY_LOCAL_MACHINE\SOFTWARE\Policies\Microsoft\Windows\Windows Search

    Check if there is any key named PreventIndexingOutlook. Delete it if there is a setting about it.

    Additionally, check if there is any setting in the following registry key:

    HKEY_CURRENT_USER\Software\Policies\Microsoft\Office\16.0\Outlook\Search
    HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Outlook\Search

    I uninstalled this version;

    and installed an earlier version;

    and the error is gone! So it seems its a version dependent issue.

    I am now getting a different error (below) but I will take it up separately elsewhere.

    Hi,

    Under HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Outlook\Search, it seems that the Outlook data files are not listed for search. In my scenario, the following keys are listed:

    In Outlook Search options, the Microsoft Outlook should be included in Index locations for Outlook search:

    Office seems to have automatically updated itself back to Version 1708 (Build 8431.2079 Click-to-Run), from 16.0.6741.20248. HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Outlook\Search is as below and we are back to the original error; Something went wrong and your search couldn't be completed.

    At this point it seems the only way to get rid of these search issues is to disable cached mode on all Outlook 2016 clients.
