Access to Report Authors and Viewers permission error in BI template exprted to Excel RRS feed

  • Question

  • I have setup the BI Reporting in PWA per the technet article (ee662106) and have tested the OLAP Cube output to the report templates successfully.  I have added a user to the ProjReportAuthors and ProjReportViewers groups in Active Directory.  The user is able to access the template and export the template to Excel but the user tries to refresh the Data connection or Save the report template back there is a permission error.  Do I need to setup another SQL security role for this user even though they are in the correct Active Directory group?  Or is there some other place to look for a solution?

  • I'm not an IT person so don't know what Load Balancing Scheme is and we are a small company only about 20 users on PWA and 3 to 4 on Project Pro but I'll give you what I can.

    Everything is running on one server;

    HP w/Intel(R)Xeon(R) E5640 @ 2.67Ghz 2 processors w/ 12 GB of installed RAM in a 64 bit OS running on Windows Server 2008 R2 Standard SP1 Ver. 14.0.6029.1000;

    SharePoint Server 2010: SP1 Ver. 14.0.6029.1000;  Project Server 2010: SP1, Ver. 14.0.6029.1000; SQL Server 2008 (64bit) SP1; Project Professional 2010: SP1 Ver. 14.0.4763.1000

    Client is running Microsoft Office 2007 STD: SP3 Ver. 12.0.6612.1000; Browser is using IE8 Ver. 8.0.7601.17514

    I'm glad to give anything else if you direct me.

    Hope that helps;

  • Does that user is part of PM group? (View OLAP access)

    Can you check whether that user is added into the OLAP cube ? (Open the cube in Analysis server, check the security permissions)

    The groups which are defined for accessing the Project server reporting database. Which takes care of Secure store and Sample reports.

  • Hi Forrest,

    In addition to Sriram's excellent advice, you may need to wait for some time if you have configured BI recently, say just 10-15 minutes back.

    Based on my experience when we use AD group while configuring BI for project, it takes some time to sync up with the permissions. Instead If you add the user directly you may able to access the report without any problem.

  • I guess I need a little more assistence Opening the Cube in Analysis server.  Where to navigate to?  The user is in the PM group and that group has access to view the OLAP cube Data.  I connected to the SQL Analysis Server but saw no where to check the security permissions.
    Tuesday, June 26, 2012 7:31 PM
  • To review user permissions on the cube, launch SQL Server Analysis Services and connect to the server

    Expand OLAP cube built using PWA, expand Roles and open properties of “ProjectServerViewOlapDataRole”  Select Membership

    All the users with view OLAP permission will be listed here

    Project OLAP cube permissions are driven via PWA security permissions. If we alter any permission manually from SQL Analysis Services, next time when cube is built, all manually added users will be remove if users does not have permissions set up in PWA

    Where use is uploading updated report? Make sure its uploaded under Sample reports, if you have created any different document library then you need to configure Trusted File Location for the same.

  • Hi Hrishi,

    I found the Membership list and added the user in question.  I tried it again but still get the same access error.  This is a custom report and I added it to the Trusted file location but get the following message.

    The Data Connection File http://apollo/PWA/ProjectBICenter/Data%20Connections%20for%20PerformancePoint/English%20(United%20States)/Apollo%20-%20EMP_Backlog/OlapProjectTimesheet.odc used in the workbook is not in a trusted location. The following connections failed to refresh:

    OLAP Project Timesheet

    If I export this webpage to Excel I can refresh and save it back without problems but the other user still cannot.  He get the above data connection message as well.  I am rebuilding the cube to see it this clears the problem but doubt it will.

    Try restarting excel service and secure store

    Also URL of the trusted file location should be

    http://apollo/PWA/ProjectBICenter/Data%20Connections%20for%20PerformancePoint/English%20(United%20States)/Apollo%20-%20EMP_Backlog

  • Dear Hrishi,

    I went back into SQL Analysis and check the Membership role and the user was still there after a cube rebuild so I tried it again and it did allow access this time. So your delay advise was valid.  We still get the Trusted Location message but the user can refresh and Save back the file manually.

    I'm confused; The cube built it's custom folder with associated Olap files in the Templates Library so would you still apply the above URL to the Trusted file Location or the Trusted Data Connection?

  • Add this URL into Trusted data connection libraries

    I found it and stopped/restarted it.  But it seems to be stubborn about this message, it's still there.

  • Can you help me understand something?

    When you create a custom OLAP cube and run it for the first time it appears to create a folder full of files in two places, one folder in the Library called Template > English(United States) folder and another in the Data Connections > English(United States) folder.

    My understanding is that both of these locations have to be assigned to Trusted Locations for Excel Services to recognize them.

    I would assume that the Template > English(United States) folder would be in the Trusted File location and the Data Connections > English(United States) folder would be assigned to the Trusted Data Connection location.

    Is this correct or do I have that wrong?

    Tuesday, June 26, 2012 9:53 PM
  •

    Templates and Sample reports both should go in to the  "Trusted file locations "

    When you create custom library for reports, it should also be added as "trusted file location"

    Following link should go in to the Trusted Data Connection Library

    http://<ServerName>/<ProjectSiteName>/ProjectBICenter/Data%20Connections%20for%20PerformancePoint/English%20(United%20States)

    I have the link that you listed to the Trusted Data Connection Library.  I've got it set exactly the way you have indicated but get same message.

    Someone said to look into this, SQL2008 R2  OLEDB provider.  I do not have this.  Does this have any bearing on my problem?  If so what is it and how do I get it to try?

  • I've tried doing this again from scratch using a new data connection in the ODC file but I still get the original error message.  Here is my Connection file Properties:

    Connection name: OLAP Project Timesheet

    Connection file: http://apollo/PWA/ProjectBICenter/Data Connections for PerformancePoint/English (United States)/Apollo - EMP_Backlog/OlapProjectTimesheet FLO.odc

    Connection String: Provider=MSOLAP.4;Integrated Security=SSPI;Persist Security Info=True;Initial Catalog=EMP_Backlog;Data Source=Apollo;MDX Compatibility=1;Safety Options=2;MDX Missing Member Mode=Error

    Command Type: Cube

    Command Text: MSP_Project_Timesheet

    The file is located in the BI Center Sample Reports English (United States) folder.  Filename: Manloading

    http://apollo/PWA/ProjectBICenter/Sample%20Reports/ in the Trusted File Location.

    Not sure what to try next.

  • Hi Sriram,

    I followed your instructions and now I am getting this error message after the data shows up in the web browser and I attempt to refresh the data from the browser.

    An error occurred during an attempt to establish a connection to the external data source. The following connections failed to refresh:

    OLAP Project Timesheet

  • Another thing that is different now.  When I try to open the file in Excel from the web browser all I get is a blank pivot table.  Then if I navigate to the file and open it in Excel, not from the browser, it opens correctly.  I then save it and go back into the browser version.  I still get the refresh error but now it will open from Excel in the browser.

    If I go into a different file from the browser and then go back to this file in question from the browser and then open in Excel it is a blank pivot table again and I have to go through the direct file again first.

    Reports from "sample reports" are fetching the data from reporting database.

    Reports from "Templates" are fetching from OLAP cube.

    Start with Sample reports..Are you able to access Simple Project List?

  • Do you mean just go into the ODC file location and resave each ODC file or just the one I'm connecting to?  If I do this on my desktop and it works, which I'm guessing it will, doesn't it defeat the purpose of using the web browser to allow others to view and update the file?
    Thursday, July 5, 2012 2:26 PM
  • Save ODC file from your report on your desktop and upload the same on location described earlier.

    By doing this it will allow rendering of locally saved excel file as well as report from PWA. It will still use Excel services

    If you are using same ODC path for multiple files, you need to upload only 1 connection file

    e.g if your ODC file name is ExcelReport.ODC , upload the same on

    http://apollo/pwa/ProjectBICenter/Data%20Connections%20for%20PerformancePoint/Forms/AllItems.aspx

    Update Connection file info of the locally saved file to

    http://apollo/pwa/ProjectBICenter/Data%20Connections%20for%20PerformancePoint/ExcelReport.odc

    Also validate authentication setting SSS ID is set to "ProjectServerApplication"  , which is secure store ID

  • This is what I have done;

    My OLAP report file in BI Center is called Manloading and is located in;

    Manloading's ODC file is called OlapProjectTimesheet and is located in;

    I opened the OlapProjectTimesheet.ODC located in;

    http://apollo/PWA/ProjectBICenter/Data%20Connections%20for%20PerformancePoint/English%20(United%20States)/Apollo%20-%20EMP_Backlog

    I exported the data connection file to my Desktop with the name OlapProjectTimesheetDesktop

    I opened Manloading report file and exported the data connection to;

    http://apollo/PWA/ProjectBICenter/Data%20Connections%20for%20PerformancePoint/ with the name OlapProjectTimesheetBIdataConnect

    I open the OlapProjectTimesheetDesktop file and changed the data connection to OlapProjectTimesheetBIdataConnect and verified that the SSO ID is ProjectServerApplication.  I am on 2007 Office so not sure if SSS ID and SSO ID are same?

    Which ODC should Manloading report file be connected to; OlapProjectTimesheetBIdataConnect or OlapProjectTimesheetDesktop or leave it connected to OlapProjectTimesheet?

    Sorry for all the questions but it's a little confusing.

  • Sorry for the amount of replies.

    I followed your procedure to set this up from Microsoft Project Server 2010 2nd ed. and the article http://technet.microsoft.com/en-us/library/ee662106.aspx

    The got the sample reports to render properly from the web browser. I ran the SimpleProjectList report and it renders and refreshes without error.  The only thing that's strange is this report does not list all my projects.  Not sure why but the main issue is a report built from an OLAP cube that updates properly in Excel I just keep getting errors from the web browser and it won't refresh from that mode either.

    If there is something else I can do to prove my setup of Secure Store Services that I did not do I would appreciate any instruction.

    Wednesday, July 11, 2012 1:20 PM
  • Forrest,

    Let's see if I can get you past this issue. From your response to Gary, you followed my TechNet procedures so it *should* work. That said, it's easy to miss something along the way. Also, there's been some odd behavior changes as CUs and SPs have been released.

    RECAP

    First, there are two separate data sources in the BI Center and you've stated the SimpleProjectList, which uses the RDB, that is working correctly. It's the reports that access OLAP which are not.

    Second, access to the OLAP database from the Excel client works fine but not from Excel Services.

    Third, the Secure Store Target Application Profile has been set up and configured correctly or you wouldn't see the SimpleProjectList.

    Last, I believe you have the location for the OLAP Office Data Connections entered under the Trusted Data Connections for the Excel Services Service Application and you have the default http:// entry for Trusted File Locations.

    If all of that above is true, then it may be the following issue.

    TRY THIS

    I've seen a problem where the credentials used in the Secure Store Target Application Profile can't access the OLAP database. Try adding the SSS DB Reader account to Analysis Services as an Admin and see if the reports render. Obviously, you don't want to leave it as an admin but it's a good test. If they do, then we know where the issue lies. If not, let us know which error you get.

    Thanks!

  • I believe everything under the RECAP heading is correct.  Just to clarify one point; the OLAP report renders fine in the web browser, it just does not refresh from that position. I get this error;

    "An error occurred during an attempt to establish a connection to the external data source. The following connections failed to refresh:

    OLAP Project Timesheet"

    In the TRY THIS portion would you please help direct me to where and how I accomplish this?

    Thanks

    Thursday, July 12, 2012 1:43 PM
  • Treb, I think I figured out what you meant, please confirm.

    I added "ProjReportViewers" to the Analysis Services in SQL Server Management Studio by right clicking on the Server account in the Object Explorer view and selecting Properties from the list.  Then selecting Security and adding the ProjReportViewers to this.  I then Stopped and Re-started the Secure Store and the Excel Calculation Services.  On the client I logged out and back in and then tried the report in the BI center again.  This time it appears to be working without the refresh error.

    So what does this now mean?  Do I leave the ProjReportViewers account in the Analysis Services location?

    Forrest

    Thursday, July 12, 2012 4:18 PM
  • Forrest,

    Not exactly, though it's interesting you got it to work. :-) I hadn't considered this initially, so this may be a good thing!

    However, this may also be indicative of another issue, but let's see.

    Are all of the members of the ProjReportViewers also Project Server users?

    • If so, do the users have View OLAP Data permissions under Global Permissions in their requisite Security Groups in Project Server?
    • If not, the process of adding the ProjReportViewers group would provide OLAP access to non-Project Server users.

  • Yes the users (2) in question are in the ProjReportViewers and are Project Server users.  One is me in the Admin group the other is in three groups; Project Managers, Portfolio Managers and Resource Managers groups.  All three of these last mentioned groups had View OLAP Data permissions.  The Admin group did not have View OLAP Data permissions but I did have this set in my user account Global Permission.

    Before I added the ProjReportViewers to the Analysis Services both of us had the same Refresh error results in the browser and now we both have no Refresh errors.

  • I think there was bug recently introduced to the Secure Store Service. By coincidence, I'm seeing something similar on a client site right now. Would you mind describing your system configuration? Number of servers and types, and load balancing scheme?

  • I'm not an IT person so don't know what Load Balancing Scheme is and we are a small company only about 20 users on PWA and 3 to 4 on Project Pro but I'll give you what I can.

    Everything is running on one server;

    HP w/Intel(R)Xeon(R) E5640 @ 2.67Ghz 2 processors w/ 12 GB of installed RAM in a 64 bit OS running on Windows Server 2008 R2 Standard SP1 Ver. 14.0.6029.1000;

    SharePoint Server 2010: SP1 Ver. 14.0.6029.1000;  Project Server 2010: SP1, Ver. 14.0.6029.1000; SQL Server 2008 (64bit) SP1; Project Professional 2010: SP1 Ver. 14.0.4763.1000

    Client is running Microsoft Office 2007 STD: SP3 Ver. 12.0.6612.1000; Browser is using IE8 Ver. 8.0.7601.17514

    I'm glad to give anything else if you direct me.

    Hope that helps;
