OneNote files on SharePoint never delete history

    Question

  • Hello,

We store some OneNote files on SharePoint. Everything works fine except that those files are using a lot of space on SharePoint and it rapidly increase.

That is because all history are kept, so anyone that make a change to the file create a new version.

I checked the settings of the library where those files are stored and there are limits on both minor and major versions. But that limit seems to not apply to the OneNote documents.

    According to this thread :

    https://social.technet.microsoft.com/Forums/office/en-US/46064273-ec25-4a7b-b61b-c4f0ef677cf9/onenote-page-versions?forum=officeitproprevious

,versions should be cleaned out. But that isn't the case either. I verified the setting of OneNote too and things look alright.

Something that I also don't really understand is that most of those versions are minor versions. Then why do people see that latest and greatest and nothing has to be published?

Thank you all for any info you may share.

  • Hi,

What's the detailed limit settings you mentioned here? Please refer to the article below to configure the Versioning settings for your SharePoint site:

    https://support.office.com/en-us/article/Enable-and-configure-versioning-for-a-list-or-library-1555d642-23ee-446a-990a-bcab618c7a37

About the reference you shared, it is talked about the Page version within the notebook. In your scenario, it seems to be related to the file version configured in SharePoint side instead of OneNote. If possible, could you please share a screenshot about your issue for more information? If the space increasing issue is related to the SharePoint version settings, it is better to ask a question in SharePoint side for more help:

  • Hello Winnie,

    Thank you for your reply.

Here are 2 screen copies of the issue that I have. On the first one, you can see the versioning settings of the library where the OneNote document resides. The limit is 20 major version and 10 minor versions. The second screen copy is the history displayed on the item. you can see that we are at the version 1.111. No version gets deleted.

    Screen copy 1:

    Screen copy 2:

I hope that it will clarify my initial question.

    Thanks,

  • Does anyone has an answer for that?

I noticed that even when only major versioning is activated, I still get the drafts....

    Any idea?

    Thanks

  • Is there ever going to be a MS response to this?  We have this same issue and have been waiting for feedback/resolve via this TechNet thread since it seems this covers the topic to a T.

I see Happouh provided screen shots as I have done below as well....

    Please Advise.....
