How to create rules for shared mailboxes that will CC inbound emails to some users mailboxes or distribution groups? RRS feed

  • Dear Exchange Expert,

    We have plenty of shared mailboxes and we would like to have rules that will be able to perform CC to specific users or groups when email received by the shared mailboxes.

    we are currently under Office 365 and there are some limitations on the transport rules to be created. thus, would like to find a way of whether to create local CC rules inside the shared mailboxes itself.

  • Transport rules should work just fine, but if you insist on using Inbox rules, the easiest way to centrally provision those is via PowerShell and the New-InboxRule cmdlet. Alternatively, you can configure the shared mailbox(es) as additional accounts in Outlook (via the File -> Add account) functionality and create the rules from within Outlook.

    Sorry for the late reply.

    Office 365 transport rules are very limited to the number of recipients and it doesn't allow CC to distribution group, which is the limitation by design. That's why i am thinking and would like to explore of whether we able to create CC rule in the shared mailbox itself?

  • I don't see any particular reason why transport rules will not work in this case, but using Inbox rules should also work. Use one of the methods I mentioned above to provision the rules for each shared mailbox.

    From our testing, we cannot create a inbox rule for shared mailbox. We also cannot to save the transport rule which cc mails to a distribution group.
    As a result, we cannot achieve this requirement by setting up a transport rule or inbox rule. 

    Since you want those users receive mails which send to shared mailbox, why not give the shared mailbox full access permission to those users?
