Assigning a Task to Portfolio Managers by List Workflows RRS feed

  • Hi,

    I have encountered several situations where I need to assign a task to Portfolio Managers Group in Project Server. This is one of them:

    I have a SharePoint List for gathering ideas. These ideas should then be sent to Portfolio Managers so that they can select the ideas which should evolve to projects in the current financial year. I've developed a list workflow using SharePoint Designer, and then used "Start a task process" from Actions menu.

    The Problem is that when I went on to assign the task to the Portfolio Managers Group, I found out that this group does not exist in the SharePoint security groups.

    One way to resolve this might be defining a new group in SharePoint and associating all Portfolio Managers to that group, but this does not seem like a great idea as I would have to grant the required permissions to the group which is time-consuming.

    Does anyone have any better idea?

  • Hi Mason,

    Are you using project server permission mode or SharePoint?

    If project server permission mode then permissions are managed through project server and you can create a SharePoint group without assigning to many permissions. Just make sure this group has access to the idea list and the workflow approval task list. Just make sure the users have access to read the members of the group if the approval tasks are assigned individually.

    Another thing to consider is an AD group which is also synced with the project server user group. This way the group is managed in AD only.

    If SharePoint permission mode then the group should already be created

    Thanks for your reply. I'm using Project Server permission mode. 

    I think creating an AD group is a good idea. So I created a new Portfolio Managers Group on SharePoint for PWA site collection but I cannot find out how to configure SharePoint to synchronize this group with the AD Portfolio Managers group. Can you help me with this?

    You can simply add the AD group to the SharePoint group (or use the AD group in your workflows)
