Ms Project 2013 - Issue with MSP & Project center - Auto calculate and Reschedule RRS feed

  • Question

  • Hi All,

We have set up coding for task level health indicators in MS Project Professional  2013 for our key business drivers.

Circles for planned dates / Squares for Actuals. These are saved in an enterprise template.

The variance is set against base line: Red (late over a month), Yellow (late within a month) Green (on time).

We have also introduced a red diamond indicator to activate when any planned dates that have not been updated and have passed the current system day/date.

The red diamonds were automatically, in the background, updating in the project plan and in PWA (Project center) so the PMO was alerted whenever planned dates had passed and the project plans had not been updated.

For some reason these red diamond indicators are not automatically updating and require manual intervention (F9) to refresh or will activate only when the plan has been modified in some way.

MSP Plan with red diamonds not activating automatically to system clock (even though some of the planned dates have passed)

Please can anyone advise why these indicators are not updating automatically in the MSP project plan and in PWA – Project Centre.

  • Hi Rahul,

I guess that until you edit the project plan, the current date is probably not updated in the schedule since it is related to the system and not the project plan data. Thus it would explain why the formula using the current date is not updated itself.

    Hope this helps,

  • Thanks Guillaume,

    Just to clarify….

e.g. Below is one of our key tasks from the MSP plan.

Task 14 has not been updated as today’s date (29th) has passed the planned date (26th).

As per our requirements, the developers have written a formula so that when the current system date has passed the planned date, a red diamond indicator should appear in the MSP plan & Project Centre automatically, thus alerting the PM/PMO that tasks in the plan need updating.

This is not happening  automatically and having to update the MSP plan (or press F9 to refresh) defeats the object of having the red diamond indicator to highlight project plan tasks that have not been updated.  We then have to publish the project for PWA to change accordingly.

The formula written to calculate this is as below (n.b. ‘Agreement Signed’ is another similar key task as ‘Reg Approval’ and the formula is the same for all our key tasks which have this indicator set up)

IIf([Agreement Signed (FB)] - 0 = ProjDateValue("NA"), "Not Baselined", IIf([Agreement Signed (FA)] - 0 = ProjDateValue("NA"), IIf(Now() > [Agreement Signed (FC)], "Not Updated", IIf([Agreement Signed (FC)] - [Agreement Signed (FB)] <= 0, "On Time", IIf([Agreement Signed (FC)] - [Agreement Signed (FB)] <= 30, "Somewhat Late", "Late"))), IIf([Agreement Signed (FA)] - [Agreement Signed (FB)] <= 0, "Finished OnTime", IIf([Agreement Signed (FA)] - [Agreement Signed (FB)] <= 30, "Finished Somewhat Late", "Finished Late"))))

When F9 or any update is made to the project the red diamond indicator does activate (as below). But clearly this is impractical as there would be no need to have the red diamond as an alert indicator if we had to go in and update the plan anyway.

Would appreciate your thoughts on this. Thanks very much.

  • Rahul:

Although the formula is correct, the function ProjDateValue("NA") does not process in PWA. You have to calculate this in the Project client. Otherwise, you can use a work around by testing a Baseline field IIf([Baseline Start] > 50000, "Not Baselined" ......

This is a known issue that has existed since the release of 2010. One of these days, Redmond will get around to fixing it.

  • Thanks Gary,

Just want to know, is there any hotfix available for Project 2013 that may fix this issue??

or i would need the code that runs on schedule to calculate and publish all the projects.
