Project Server 2013 workflows use System Account (SharePoint\System) as initiator RRS feed

  • Question

  • Hi,

Our challenge here is that we're creating a Project Server 2013 workflow using SharePoint Designer 2013, everything works well, except for the fact that workflows are automatically started using the System Account (SharePoint\System) as initiator after the current loggedin user finishes creating the project for the first time.

Something to take into account is that when the user hits the Restart Workflow command from withing the Project Workflow Status PDP, the workflows succesfully restarts and sets the initiator property to the current loggedin user (as it should've been in the firts place)

Some of the things we've done are:

    1. Updated the whole platform (SharePoint Server & Project Server) to the august 2013 cumulative update
    2. Fully provision the User Profile Services and confirm that user profiles of the user accounts being used are created
    3. Fully synchronize user profiles against Active Directory
    4. Use custom user account different from the System Account to create -> publish -> execute workflows

Some facts you might want to know:

    1. If you don't use any of the properties of the initiator when it's System Account (like send an email to initiator) the workflow completes succesfully.
    2. When the workflow is restarted and the initiator is the user who restarted (and that's what we want) the workflow runs flawlessly from beginning to end.

Some of the tests we've done are:

    1. Create a new PWA from scratch and run the all tests again.
    2. Setup a list workflow to start automatically on a SharePoint list: It Works flawlessly.

    Thanks.

  • I contacted Microsoft Support for this, they confirmed this is normal behavior, since Project Server workflows are based on SharePoint Site Workflows which in turn always use the System Account (SharePoint\System).

    Hope this helps.

    Best regards,

    Emilio.

  • Having the same problem,  Everything updated through DEC 2013 CU.

Did you ever figure out how to make PWA use a different workflow initiator / the account of the user creating the project when the project is created?

    Thanks
