Microsoft Teams docs library share outside the organization

    Question

  • Hi,

It's possible somehow to share documents from docs library in new Microsoft Teams? As far I can see share form is a little different like it is on regular document library where I can uncheck "Require sign-in" box?

Global settings in Office365 Admin center are configured to allow share content outside the organization.

  • Hi Luuuk,

To share document with external users, you could send or post an anonymous guest link. And you also by clicking share.

If you enable the external sharing in admin center, it will display the “Require sign-in” when sharing.

For more detailed information, you could refer to the article below.

Share sites or documents with people outside your organization.

  • Hi Sara,

    Thanks for your reply.

The external sharing is enabled in admin center and for regular SharePoint documents library and OneDrive it's working fine and I'm able to create a guest link.

Problem is with files located on new Microsoft Teams document library where “Require sign-in” box is missing.

  • Hi Luuuk,

To troubleshoot the issue, check things below:

1.Go to SharePoint admin center -> site collections -> select the site collection and then click sharing in the ribbon. Check whether “Allow sharing with all external users, and by using anonymous access links” is selected.

    2. Go to SharePoint admin center -> sharing. check if “Allow sharing to authenticated external users and using anonymous access links” is selected.

    3. Check if the external sharing is enabled for correct site collection.

    Best regards,

  • For new Microsoft Teams site there is no site collection listed in SharePoint admin center -> site collections and most probably this is main reason.

When you creating from Teams client new team "http://windowsitpro.com/office-365/quick-tip-how-create-team-microsoft-teams" it will create new site collection by default under https://company.sharepoint.com/sites/Test_site/SitePages/Home.aspx but it is not listed in SharePoint admin center where I can check sharing options.

  • Hi Luuuk,

How did know it would create site collection under https://company.sharepoint.com/sites/Test_site/SitePages/Home.aspx after creating team by the Microsoft Team app?

Creating team by the Microsoft Teams app, you create create teams for various groups and add members to the team.  Microsoft Teams app is the chat-centered workspace in Office 365.

If you want to share documents with external users, you could upload the documents to the site collection https://company.sharepoint.com/sites/Test_site, then you could enable external sharing for the site collection https://company.sharepoint.com/sites/Test_site

If it creates new site collection by default under https://company.sharepoint.com/sites/Test_site/SitePages/Home.aspx, can you find the site in sub sites under https://company.sharepoint.com/sites/Test_site?

If you can find, it is not a site collection, it is a subsite under https://company.sharepoint.com/sites/Test_site, so it will not list in site collections in SharePoint central admin.

    - you can open the Team site directly as SharePoint page by clicking ... (open in SharePoint) from Teams app. URL is pointing to https://company.sharepoint.com/sites/Test_site/SitePages/Home.aspx

If you want to share documents with external users, you could upload the documents to the site collection https://company.sharepoint.com/sites/Test_site, then you could enable external sharing for the site collection https://company.sharepoint.com/sites/Test_site
    - I have some documents in library location, share options is available but not with external users (“Require sign-in” box is missing)

If it creates new site collection by default under https://company.sharepoint.com/sites/Test_site/SitePages/Home.aspx, can you find the site in sub sites under https://company.sharepoint.com/sites/Test_site?
    - no sub-sites

  • Hi Luuuk,

If the site collection is not listed in site collections in SharePoint center admin, then external sharing cannot be enabled in the site collection.

You could contact the administrator of office 365 about the issue.

  • Hi Sara,

I'm the administrator of Office365 in my Company ;) or maybe you mean by "Microsoft" :P

BTW, all of the site collections created by me or other users are not listed in central admin panel or some other place so there is no way to mange it somehow :(

    Any idea anyone?

    Regards

  • I'm running into the exact same issue (Doc libraries created within Teams not having External Sharing, and not showing in SharePoint Admin).  Thought I was going insane...
