  • How to reduce the POP3 read receipt responses which sends two response mails

    I am having Exchange 2013 on Windows 2012. The clients are only POP3 users. 

    When a mail is sent from outlook choosing read receipt. When the mail is read, the users get two responses. 

    First responses : 

    Your message    To: Ahmed y    Subject: test - ganesh 3    Sent: Sunday, October 25, 2015 3:46:51 PM (UTC+03:00) Kuwait, Riyadh  was read on Sunday, October 25, 2015 3:47:03 PM (UTC+03:00) Kuwait, Riyadh.

    Second response:

    Your message     To:  ahmed@domain.com     Subject:  test - ganesh 3     Sent:  10/25/2015 3:46 PM was read on 10/25/2015 3:47 PM.

    We want to reduce the two responses, kindly suggest.

    Does the server rule will help to suppress? if yes how?

    Is there any registry or powershell command to suppress?

  • Read receipts are generated by the client, but in the case of POP3, the server also generates one when the message is downloaded by the client. 

    It looks like you can suppress the read receipts generated by the server with the following command.

    Set-PopSettings -Server SERVER_NAME -SuppressReadReceipt:$True

    Alternatively, perhaps you can change your client configuration to not generate read receipts.

  • I finally found the way to fix the issue, it was an workaround but worked well. 

    Here is the resolution we tried for duplicate read receipts.

    Initially we tried suppressing the read receipts by executing the command which didn’t help.

    Set-PopSettings  -SuppressReadReceipt  $true

    Set-RemoteDomain -identity * -DeliveryReportEnabled $False

    The above command reduced read receipt but instead there was second read receipt which came with the message been deleted without being read on when mail is removed from the inbox and delivered to pst for the employees who has set Leave a copy of message on the server and delete after n number of days.

    We tried with Rules to block the delivery receipts with subject and body words which didn’t help as it is internal mail acknowledgement which even start from mailbox. Its an internal acknowledgement receipt which you will not find on source mailbox.

    We tried also fixing individual mailbox level and that too didn’t fix.

    get-casmailbox -resultsize unlimited | Set-CASMailbox  -PopUseProtocolDefaults $false -PopSuppressReadReceipt $true

    Finally here is what we did, when I analyzed the header of both mail read receipt and deleted mail without been read had an information called  Report-type=disposition-notification in the email header of each Read/Delivery receipts. So I created rule with two condition as follows.

    The subject / body  matches the Not Read: ‘or’  was deleted without being read on and the message type is Read Receipt. I set the action to Delete the message without notifying anyone only if the condition matches.

    After the rule was applied! Bang! the issue is resolved. We did many test mail flow and the issue is resolved.

    The problem seems not resolved. I again getting Message was deleted without been read .

    Any idea how to suppress the read receipt which says deleted without been read. 

    We cannot ask the user to go for Outlook / MAPI as they are Sr. Management folks. 

    We also have minimal mailbox size of 1GB and we cannot just leave a copy of message on the server without delete after 14 days checked. Any idea how to solve this?
