Metadata dropping off RRS feed

  • Hi All,

    We use a ShareGate system which imports our on-site data up to SharePoint and with it we create a spreadsheet file to advise the application what metadata to assign each file.

    Recently we have found that intermittently, with no pattern, we are having files dropping this metadata a few hours after a successful upload. We can see it in the libraries once the upload has been completed but we check back later and the files are tagged as requiring metadata and it is gone.

    We have contacted ShareGate about this and checked the application's log file and we can see that the files and their metadata are definitely being uploaded successfully but SharePoint seems to be stripping the metadata afterwards.

    Again, this isn't all uploads just a few every now and then.

    Any ideas?

    I would like to confirm a few things with you:

    1. Can you reproduce the same issue if you upload the documents manually to the library, without using ShareGate?

    2. Is there only one column that is losing metadata or is it happening to different/multiple columns?

    3. What is the type of the column that is losing metadata?

    4. What if you fill in the required metadata after, does SharePoint Online manage to keep the values?

    Consider changing the method you use to upload the documents and see if you can reproduce this issue, for example, using PowerShell or PnP PowerShell.

    1. Can you reproduce the same issue if you upload the documents manually to the library, without using ShareGate?
      1. It seems to be intermittent when uploading via ShareGate. We have not noticed this via manual uploads, as we may only do one or two files. The metadata is definitely present when the upload completes but within a few hours it seems to drop off
    1. Is there only one column that is losing metadata or is it happening to different/multiple columns?
      1. It is not all, but some metadata, and random columns and data. The files themselves show they have not been edited when the metadata has dropped. 
    2. What is the type of the column that is losing metadata?
      1. Columns that are set to "required" are dropping, in one instance it is a "Choice" which our staff use as a "Document Type" column.
    3. What if you fill in the required metadata after, does SharePoint Online manage to keep the values?
      1. There have been a couple of instances where I have had to add it again as it has come back into the files that need attention, not repeatedly dropping though

  • Hi,

    It seems to an intermittent problem related to (but necessary caused by) the ShareGate system.

    To help you confirm, I suggest you use another method to do the import, manually, using PowerShell or other tools like the SharePoint Migration Tool (SPMT) and see the result.
