Project Online Setup for External Users with Project Lite Licences RRS feed

  • We already appreciate that Project Online probably isn't the ideal use case for external client access but we love the Team Foundation Integration with Project Professional so we are looking for some workaround to give our clients access to their project plans online.

    We usually give our clients:

    Their own SharePoint online sub-site and allow all of their users access to this site as a viewer.

    A single stakeholder within their business (usually the Product Owner) an a Azure Active Directory account with contribute access to the same site. They can also access our Visual Studio Online environment as a stakeholder.

    Ideally we would like to:

    Give the stakeholder a Project Lite Licence too so that could access their project plan.

    NOT be allowed to see other clients projects.

    Put the project plan into a sub-site of their current site (but if this is not possible then a sub-site of the /pwa would be acceptable).

    Has anyone else manage to achieve this or similar ? Would it be possible for someone to give us an idea of the steps to follow in order to set up this kind of environment if it was possible ?

    First of all, your organization would need to use Project Server permissions mode rather than SharePoint permission mode, which is the default unless you changed it.  When you use Project Server permissions mode, you can create a custom Group and Category for each customer.  In the custom Category for the customer, you must select only the projects belonging to that customer.  In the custom Group for the customer, you grant the permissions for that customer, such as seeing their projects in the Project Center and viewing the Project Sites for those projects.  By doing this, you will then grant that customer access to only their projects and the Project Sites for those projects.  Hope this helps.
