Mail Flow Rules - How to process incoming external emails? RRS feed

  • We're considering a move to Exchange Online. Currently we have on-premises Exchange Server 2007 and one of the features that we use is Journaling.

    One of our main line of business applications has a mailbox on our Exchange Server which receives copies (via journaling) of all outgoing and incoming emails.

    I noticed that Exchange Online doesn't support journaling in the same way (you can't journal to another Exchange Online/Office 365 mailbox) so journaling is out of the question. 

    However I did notice that you can use a Mail Flow rule to achieve the same thing.

    Having looked into how the Exchange Mail Flow rules work though it seems to just be for outgoing emails which originate from Exchange Online/Office 365 mailboxes.

    We would also need incoming external emails to be processed by the mail flow rule.

    Does anyone know if this is possible with Exchange Online?

  • You can achieve something similar to Journaling via Mail Flow rules but the same restrictions apply - you CANNOT use Office 365 mailbox to store those messages, it's against the licensing agreement. Instead, you need to store them in some external system, such as your on-prem server or 3rd party.

    Instead of Journaling, take a look at the in-place/litigation hold functionality, it's Microsoft's approach for compliance and will probably fit your needs.
