Email address policy confusion

    Question

  • I have an odd situation. Exchange was upgraded years ago and we are now trying to clean up old email address policies that are no longer needed. We have multiple policies, they are a mix of Legacy (2007) and Precanned (2013). At this time only two show Applied (configured for users in Europe) but, they do not contain the default email address being configured for new mailboxes. When a new mailbox is created, it receives the correct email address format. I have looked and cannot determine where it is pulling this configuration from. The strange thing is, the Default Policy (which is from 2013) shows UNAPPLIED but, it does contain the correct SMTP  address format:

    %rAa%rBb%rCc%rDd%rEe%rFf%rGg%rHh%rIi%rJj%rKk%rLl%rMm%rNn%rOo%rPp%rQq%rRr%rSs%rTt%rUu%rVv%rWw%rXx%rYy%rZz%m @ company.com

    Is there any way to determine where my new mailboxes are pulling the email address policy from?

    It indicates that there are some changes with the default email address policy, we could click "apply" on the right of the ecp page first, then create rules to define the recipients that the custom email address policy (configured for users in Europe) applies to, we recommend you to use the recipient container, thus we could filter the users by a custom OU for them.

  • No, not yet. Management is concerned that after clicking apply it will break something. It is being considered.

    From the above screenshot, we could see the default email address policy has the lowest priority. Generally, it will be applied at last. And if we click apply, the default policy will not override the custom one.

    If you do have the concern, put the users into a custom OU.
