Linking Room Resource Mailbox and Equipment Resource Mailbox


  • We have 4 Meeting Room and 2 of the Meeting Room has Projector permanently fixed. The 4 Meeting Room booking are fully automated using exchange 2010 Room Resource Mailbox. Projector Booking is not automated. It is managed using two delegated Equipment Resource Mailbox. We looking at a way to link these Projector Equipment Mailboxes to their respective Meeting Room Mailboxes so that when they request for the Meeting Room the request for projectors are also send. Currently users have to separately choose room and projector. Since these projectors are fixed in 2 meeting rooms, sometime user request for these projector without having the right room.<o:p></o:p>

    How can I associate the Equipment Mailboxes to these two specific Meeting Room Mailboxes so that choosing the room also send request for projectors?<o:p></o:p>

  • If the projector is permanently fixed, why would you want it booked separately?  When they book the room, they get the projector anyway, and they can't book the projector separately, so why even list it?

    You could try putting both in a distribution group and naming it something like "Room + Projector", but it won't show up in "All Rooms" or look like a room object.

  • We need to book the projector separately because it requires a technician to be available when projectors are used. I tried to create room list distribution group but it takes only Room as member not Equipment Mailboxes. If create a normal distribution group can they select is as location, if so from where? It may not showup in the All Room but may be we can create a Separate address list for these "Room + Projector" distribution groups??

  • As I said, it's a distribution group, not a resource.  If you invited it to a meeting, it would invite both the room and the projector.

      What u can do is simply add a proper description of room mailbox stating that this room projector available, this much persons occupy like this.

      It will be helpful.. users can see the description and book...

  • We have done that by adding Custom Resource Properties to the Resource Schema. From the end user prespective all is good and they can find the rooms with projectors. It is the backend process we want to take care of wherein if the room is choosen it should also initiate request to the Projector Resource  Equipment Mailbox associated with the room. Trying to do this without having to create a group with room+equipment as user will not be able to find these Rooms as Ed mentioned.

  • You might try experimenting with making the room mailbox an alternate recipient of the projector.  If that works the way I think it might, you could change the projector to be "Projector + Room", and the room to be "Room Only (No Projector)".  Users book Projector + Room and the invite will also be sent to the Room Only.

  • Ed, Nice Suggestion. Let me try this in the Lab. The concern is the Room Booking it Automated using Resource Attendant  and the projector is using the delegate. I have to see the forwarding the request to the Room from Projector can be auto accepted if available. For Projector I think we can configure a resource delegate.

  • Hi MS Ali,

    If you chose the ED's suggestion, you will no need to keep the Projector resource, and if the meeting need a technician to help the attandees to configure the projector, you could create a transport rule to note the technician.
    Or you could add a transport rule to make some tests, for example: send to room copy to projector.

  • To use the Exchange Management Shell to set the resource property schema       
    • Run the following command:

      Set-ResourceConfig -ResourcePropertySchema ("Room/TV", "Room/VCR", "Equipment/Auto")
                      This is a one time procedure to add the custom resource strings you want to use to tag your resources.             
                        To use the Exchange Management Shell to configure resource mailbox properties for resource capacity       
    • Run the following command:

      Set-Mailbox -Identity "ResourceMailbox01" -ResourceCustom ("TV","VCR") -ResourceCapacity 50

                  To use the Exchange Management Console to configure resource mailbox properties       
    1. Start the Exchange Management Console.

    2. In the console tree, expand Recipient Configuration, and then click Mailbox.

    3. In the result pane, select the equipment or room mailbox you want to configure.

    4. In the action pane, under the resource mailbox name, click Properties.

    5. In <Resource Mailbox Name> Properties, on the Resource Information tab, you can specify the Resource Capacity and add Resource custom properties.

  • Out of curiosity why do it as Projector + Room, and not Room + Projector?  Presumably because sometimes you might book the Room without the projector, but not the opposite?  What part to play does the technician have here.  Would you also need to have the Technician Team notified.  So do you need Project + Technician + Room.

    If the Projector is Equipment, it won't appear as a Room on the Location of the Outlook Invite and cant be added to a RoomList
