Few list items are not searchable

  • Dear All,

    We are having SharePoint 2013 Production environment. We have scheduled incremental crawl for every two hours. We are using Find an item seach control to see the results in list but somehow when users are adding list items couple of items are not crawling and also not showing in results.  This is happening in all site collections.
    When we are running a full crawl all items are crawling with no issue and able to seach items. 

    Can anyone know why couple of list items are not crawling in Incremental crawl? How can we check an item is crawled or not?

    I have verified below options:

    1. Require content approval for submitted item to “No”
    2. Allow items from this list to appear in search results is checked to "Yes"
    3. Web application is in default zone only

    How to check if an item has been crawl:

    You can access CA > Manage service applications > Search Service Application > Crawl Log > URL View, search the URL/host name of the item.

    About the incremental crawl issue, please try to do following steps to narrow down the issue:

    1. Please create a new item in SharePoint list, then access CA to do an incremental crawl manually. Then check if you’re able to search the new item.

    2. Please access CA> Manage service applications > Search Service Application > Crawl Log > Crawl History, check if the incremental crawl which is set to run every two hours has run successfully.

    3. Please provide the screenshot about the incremental schedule.

  • Hi,

    How to check if an item has been crawl:  When we are searching for list URL, it is showing up fine. When we are copying item URL it is not returning any results. This is happening for both searchable/non searchable content. 

    incremental crawl issue:  1. We have tried this, but no luck

    2. Yes, crawls are completing successfully for every two hours

    Can you enable "Always index all Web Parts on this site" on Search settings and see the results.

  • Hi Nisanth,

    Please make sure the item URL you typed is correct, shown as figure below. Or you can search the Title value of the item.


    Make sure that the content source you did the incremental crawl manually contains the list items.

    Thanks for the reply.

    Yes, i did checked as above. Th strange thing happening is when we perform incremental crawl for document libraries get crawling and able to see them in search results, but list items are not crawling. This happening for most of the lists. All lists are having search settings enabled. Do we need to create any managed property for the columns?

  • When you say some list items don't appear, do they appear after a full crawl?

    Are the items that can't be searched all in the same lists or is it some items in one list but not all?

    Are you testing with the same field in your tests or are you using a mixture of fields to search, if so are there any patterns to the searches.

    Yes, those items are appearing after full crawl.

    Most of the lists having the issue, users will continuously add items to couple of items so scheduled incremental crawl for every two hours. 

    Are you testing with the same field in your tests or are you using a mixture of fields to search, if so are there any patterns to the searches.

    I am just using normal search, which is like title for item.

  • Hi,

    Please try to create a list item and do an incremental crawl manually. Then open crawled database in SQL, check if the item is in the dbo.MSSCrawlURLLog table. You can find the item in table by List ID.


    After that, please provide the result here.

    Are they major versions if versioning is turned on?

  • I have seen the issue before. Also after Full Crawl able to find everything. After Incremental some list items not found.

    The solution was to Crawl the default zone of the webapplication. It's best practice to crawl the default zone and not an extended zone.

    We are crawling Default zone only and we don't have any other zones.  

    We thought this issue might be with number of lookup columns because we are having 7 lookup columns exist in the list. We just created another list with single,multi line text columns and a People and Group column, those items also not picking up in incremental crawl.

    This turns out to be strange, can anyone help me?

    This seems a different kind and strange issue altogether:

    > Reset the search index, run a full crawl. Then modify list items and go for incremental. Check if this fixes your issue.

    > If still no help, then create a new search service application and try again.
