New Email Received Notification Pops Up But Email Not in Inbox RRS feed

  • Question

  • I get a notification that I have received a new email. I can read the email by clicking on the notification, but that email doesn't always appear in my inbox.

I am using Outlook 2010 as my email client. I have an MS Exchange account hosted on my SBS 2011 Standard server using MS Exchange 2010.

Where are these emails going? Is it possible to retrieve them? Are they stored on my email server? If so, where?

    Thank you.

  • When you have the email open from having clicked the notification, press Ctrl Shift F, which will bring an Advanced Find window which will have its location defaulted to the location of the email you're viewing. Then you can just click the Browse button and you'll see the location of the email. As for how it got there, it could be a rule, or you might find that it really is in your Inbox and there's something about your current view that's hiding it.

  • Hi,

In addition to Peter's reply, we can clean the current views to check the emails again:

Press Win + R, type "outlook.exe /cleanviews" in the "Run" dialog, press Enter. It will restore default views and the custom views you had will be lost.

  • Thank you for your reply, Peter.

I am not always at my computer to catch the pop up notification in time to open the email.

I was hoping someone could tell me where on Exchange these emails may be stored as I have "lost" an important email that I can't replace.

My current view is the standard single Outlook view without preview panes. I changed the view to preview and the lost emails remain lost.

  • Thank you for your reply Melon.

I ran the Outlook cleanview tool. The emails remain lost or hidden and the view did not change. I am using Outlook's single view without preview panes.

Would be useful to know if this is an issue that went from a "working" to "non-working" scenario or if this is a new install and has never worked.

If this is something that has gone from "working" to "non-working" - have you checked to see if the "filter" for the folder was changed?

I don't think you understand the OP's problem and I have the same.

We receive a pop up notification in the bottom right hand side of our screens, Outlook is open at this stage. I can click the notification and the email will open but this said email is not in my inbox in Outlook.

Performing an advanced search does show this email in the inbox bot it is not there in Outlook.

  • I will try this as soon as I can trap another pop up message. Am having trouble right now doing that and it is getting past my bedtime so I will return to this in the morning.

The Press Win + R, type "outlook.exe /cleanviews suggestion did not help.

  • The problem is a result of my attempt to put my e-mails on my D: Drive rather than my SSHD C: drive.

    I probably did something wrong.

Outlook 365 is saving new e-mails at: C:\Users\SOP\Documents\Outlook Files\me@comcas2net.pst There is no outlook.pst file here. Along the left side of the Outlook home screens is a group of folders under the heading of me@comcast.net It contains all my new e-mails. Size 446 messages.

The original ones are at: D:\Desktop\Documents\Outlook Files\me@comcas.net(1).pst and this is where the inbox is looking for more files. There also is an outlook.pst file at this location of a similar size to the bill@frisinger.net(1).pst
Along the left side of the Outlook home screens is a group of folders under the heading of me@comcast(1).net It contains all my old e-mails. Size 928 messages.

Along the left side of the home screen at the top is Favorites and right under that is Inbox with 975 files (all old stuff) then a little lower is Outlook Data file and Inbox under that with 975 messages, again all old.

It would be fine with me if all the old stuff just dispersed.
I would like the new stuff to just be in one place.

The fix probably starts with File> Account Settings > Account settings

Here I found 3 folder names,I deleted all but me.comcast.net The folder is listed as D:\SOP\Desktop\Outlook Files\Outlook.pst which looks good to me.

Now my home screen on the left looks better but I only have the old messages.

My remaining problem is "How do I get Outlook to put new messages in D:\SOP\Desktop\Outlook Files\Outlook.pst.

My apologies for the length of this but it has been a long gurney.

  • THANK YOU!!!

Not only did I learn something new (advanced find), but I found a recent Outlook update changed the way one of my Rules was processing emails. Seems odd that Outlook would make a change that would affect your rules, but, at any rate, I was able to fix it thanks to your suggestion. So, thanks again :)

PS: I appologize if this is a duplicate answer. I clicked on the Voting button before I submitted my answer and then I could not get back to the Reply box. And, althought I got the following message several times "You already have a reply open, please close before continuing" I could not find the open Reply...

  • The solution I found was quite simple. At some point I adjusted the filter/sort settings (located on the same line with the Focused and Other tab just under the search box in my email. Apparently I had selected one of the other methods of filtering my emails and forgot about it. That prevented me seeing my new emails coming in, yet I could see the pop-up notification. When I selected my usual setting of filter by Date (Conversation), I got my view back of all my emails that I thought disappeared. Oops on me
