Document Sets - Uploadin bulk & Explorer view Empty RRS feed

  • Question

  • We have a document library which stores company records as document sets(Region 1 Document Set, Region 2 Document Set  etc.). Each document set has several files associated with their respective content types stored inside them. We have around 1000 document sets as of today & there is high chance that we'll create more in the coming days.

    My question is

    1. If I have 1000 files(example: an invoice statement from January month for all the regions) that I need to upload into these individual regions document sets, I need to go into each individual document set, upload that document provide document property information and save. Is there a way to automate this process?

    2. Why is the document library with document set content type opens in explorer view as empty?

    Thanks

  • Hi, ViviSP,

    1. According to your example, 1000 files all have different destinations. To automate/simplify the process, you always need to do some code work or find an extension/add-in to do it. You can write a script to upload files in bulk. Each time select a folder containing files with the same destination and the required document sets. Here is an example scripts you can have a look.

    2. If your library has too many files inside, the explorer view may not be able to return them.

When open a SharePoint document library in Explorer view, placing the pointer over any of the enumerated files requests metadata for all of the files in the folder that you are browsing.

As in this scenario, it may be the large number of the documents that make the Explorer View not working.

  • Hi ViViSP,

    about 1.
Do you have the same structure on the file share (source) as in SharePoint?
If so, you can use apps like SLIM Companion Explorer to drag and drop folder structures plus nested content to SharePoint. Alternatively, you can drag and drop all documents per region and set custom metadata.

Do the source file contain metadata? e.g. keywords in PDF files? If so, there are tools that can also extract these values from PDF files and capture them into SharePoint columns.

    about 2.
Explorer view is not suitable to open libraries with many items. It requires IE11 and ActiveX. It also does not support metadata and does not keep the original modification date.
