Double booking resources in outlook

    Question

  • Our company has a fleet of cars we check out when we travel to other offices.  Those cars are all added as resources in the exchange admin portal and show up as rooms and resources.  I set the permissions so people can only delete their own entries.  I'm also made sure the box for allow conflicts is unchecked.  However, people are able to double book the resources no matter what I tried.  I basically went around to each users computers, went to the calendar tab, right-clicked and said add calendar from address book, and added the appropriate cars calendars.  I've tried scheduling the resource by double clicking directly on the calendar and creating it from there, but it then lists the car as the organizer and the location and allows anyone to double book or delete any entry.  I tried booking them as a meeting from the users inbox directly, which then does show the user as the organizer and the vehicle as the room, but still allows double booking and allows anyone to delete the entry directly from the cars calendar.  I'm sure I'm just missing something here, but can anyone help me out with this?  I'm using O365

    From the description, duplicated meetings can be created in these room and resource calendar. Based on my research, this issue is more related with Exchange Server. I’ll help move this thread to Exchange Online forum.

    Please post the result of the Get-CalendarProcessing command Ed provided.

    Did you check the scheduling assistant on Outlook before booking the resource calendar? Could you see the resource room is busy there?

    Please create a new meeting under the home tab in Outlook instead of using the directly booking, and see if the behavior is different.

    I was able to stop it from double booking the resource, but only by creating a new meeting and adding it as a room through the meeting so that it accepts and rejects automatically.  If I double click a date on the resources calendar and reserve the resource that way, then it allows double booking.

    OK, direct booking is not a recommended method for users to book a new meeting on the resource mailbox, use the way that "create a new meeting and add it as a room through the meeting".

    A very old blog describe this: Exchange 2003 Auto Accept Agent vs. direct booking

    Since there is availability against free/busy, latency in free/busy replication can result in double-booking.
    Conflicts aren't detected beyond the range of published free/busy and can result in double-booking.
